1. Process Filter: Use the process filter to choose between any site placement processes available to students in your program(s). This is a single-select filter which will determine the layout of the placement approval grid, depending upon the requirements of the process. The grid will default to showing the last process you reviewed in this space each time you revisit it.

2. Placement Group Filter: The placement group filter allows you to view placement applications submitted by students in a specific placement group.

3. Classification Filter: The classification filter allows you to view placement applications submitted under a specific classification within the selected process.

4. Class/Group Filter: The class/group filter allows you to view placement applications submitted by students within certain classes or groups in Experiential Learning Cloud. This is a multi-select filter, so you can select multiple groups at once if necessary.

5. Student Filter: Select one or more students using the student filter to zero in on placement applications from specific individuals.

6. Status Filter: The status filter allows you to filter by different statuses. It is helpful to update the status filter to All Statuses when filtering by specific classifications, groups, or students, to be sure that you are seeing all application statuses within the selected parameters.

7. Saved Filters: Save filters so that you can easily pick up where you left off whenever you return to the site placements workspace.

8. Dashboard: The Site Placement Dashboard gives you further insight into site placement completion status.

9. Compact View: By default, the placement approval grid will be displayed in compact view. However, if you would like a more expanded view, displaying all students' site and site supervisor's names, you can switch off the compact view toggle. Alternatively, if you only need to see more detail for one student's application, you can use the icon to expand their placement application only.

10. Export Icon: The export icon will allow you to run the Field Placement Reports directly from the Placement Approval Grid.

11. Placement Notes: Log notes about a student’s placement application journey from the placement grid. These notes can be viewed by other placement approvers.

12. Pre-Application: Students can complete pre-application tasks to demonstrate their readiness for field experience and share information regarding their goals for placement and beyond to better position your field team to support them.

    1. Site Application: Once the pre-application tasks are completed and approved, as necessary, students can select the site where they will be working from a list of pre-approved sites, or they can suggest a site that is not yet on your list of approved sites. They will be required to complete tasks related to their placement with the site and if students suggest new sites, additional tasks will be included to ensure that the site is suitable.  Within the site application tasks, you may notice red and blue bubbles with the words NEW and APPR in them. These indicate the different tasks which will be required of the students depending upon whether they are working with a placement site that is not yet in your list of approved sites, or if they are working with a placement site that is already on your list of approved sites.

    2. Site Supervisor Application: Students will also be able to select or suggest the supervisor with whom they will be working. Again, they will be required to complete tasks related to their placement with the supervisor and if they suggest new supervisors, additional tasks will be included to ensure that the supervisor is appropriately qualified.  Again, within the site supervisor application tasks, you may notice red and blue bubbles with the words NEW and APPR in them. These NEW bubbles indicate tasks that will be required if students are working with a site supervisor who (a) does not yet have a Experiential Learning Cloud account or (b) is not yet associated with your program or the site at which the student is placed. The APPR bubbles denote the tasks that will need to be completed if they are working with a site supervisor who already has a Experiential Learning Cloud account and is associated with your program and the site in question.

    3. Task Name: The name of the task will be indicated on the left-hand side of the placement approval grid in normal font.

13. Student Vertical Ellipsis: This button displays two options: you access to the User Record on another tab and Expand this Column.
14. Initiate Task/Add site: The (+) icon denotes any tasks which can be initiated by you. Click this icon on the Add site row to delegate a task to yourself or another individual. If your placement process allows you to assign placement sites to your students, you will also be able to click this icon to initiate that process.

15. Initiate Task/Add Site Supervisor: If your site placement process allows you to assign site supervisors to your students, you can click on this button to designate a supervisor associated with the site in which you placed this student.

16. Site Application Vertical Ellipsis: Click on this vertical ellipsis to see the options to "Update site status," "Remove application," "View Profile," "Manage site" and "Site record."
    1) Update Site Status: To update a site’s status from the Placement Approval Grid, click the 3 dots next to the site name and select Update Site Status. A window will then appear and allow you to update the site’s status for any program you are associated with and allow you to include notes as to why you are changing the status. These changes will also be reflected for the site in the Site Management workspace. NOTE:  This option is only available to Program Administrators.
    2) Remove Application: To remove a student’s application, click the 3 dots next to the site name and select Remove application. You’ll then be able to select whether you would like to remove the student's site supervisor application only, or if you would like to remove their application for both their site and site supervisor.  Removing an application does not delete any existing paperwork which has been completed as a part of the placement process. This paperwork will still be accessible within the student's documents.  NOTE:  This option is only available to Program Administrators.
    3) Manage Site: This button opens the selected site's profile in the Site Management workspace in a new tab. Here you can view and update the site's information as necessary. Learn more about site management here.
    4) Site Record: This button opens the selected site's record in the Sites table in the Program Setup | Admin environment workspace in a new tab. NOTE: This option is only available to Program Administrators.

17. Site Supervisor Vertical Ellipsis: Click here to open this User record in another tab.

18. Sort by Student Name or Task Activity: Choose to sort the placement approval grid alphabetically by student first or last name. Or choose to sort the placement approval grid by the order of completion of a specific task. Sort by “Newest” to see the most recently updated tasks first, or by “Oldest” to see which tasks were updated first (this is intended to help programs that award placements on a first-come, first-served basis).

19. Message this row: This envelop icon ellipsis displays the options "Send message via ELC," which will open the dialog box where you can type a message that will include all of the students that are part of this Placement Group as recipients, and the second option is "Send message via email," which allows you to message those same recipients but directly from the email associated with your ELC account, by connecting you with the app you use for your institutional inbox (Outlook, Google, etcetera.)

20. Site placement district referral: If your Site Placement Process is enabled with placement referral, this button will take you to the referral workspace where you can select students for referral to a district network (this option is mainly used by Teacher Education programs.)

21. Send placement referral to site: Long press the mouse over this button to send an automated email to the site asking them to approve or decline this student's placement.

22. Placement Actions More Options: This vertical ellipsis displays Referrals options that are applicable in bulk, such as "Send all to site ASRs," "Mark all as Approved," "Mark all as Not Approved," "Skip all referrals," "Placements: Notify All Students" and "Cancel all district referrals."
If your site placement process is not enabled for referral, this ellipsis will give you the option to Notify All Supervisees.

23. Final Review: Once all required tasks in a student's placement process have been completed, the final review step will transition to Waiting on Me. You will be able to approve or not approve the student's placement with their site and site supervisor at this time. Until the final review step is completed, the student's placement will not be registered in the system.

23. 1. If a student has suggested a new site or site supervisor, you will be able to approve them for your program at this point as well. You also have the option of limiting your new site approval to specific sub-programs and/or associating your new site supervisor to one or more sub-programs. Once approval is complete the new user record is created and an invitation to register is sent and/or the new site record is created and approval for the programs selected.

24. Placement Tags: Apply customizable tags to students’ placements during the student’s placement application process.

25. Task Statuses: The icon key at the bottom of the grid will tell you the status of each student's individual tasks that they must complete before being placed at the site and/or supervisor.

26. Launch Placement Recommendations: If you are using the "Assigned" Site Process Workflow, you can access the Placement Matching Recommendation Tool. Learn more here.
