Overview

Experiential Learning Cloud allows you to assign existing sites in your database to students to complete placement application paperwork.

Assign Placements

Students will need to complete any pre-application tasks or submit their preference list for review. Once those tasks are complete you can continue with assigning sites from the Placement Approval Grid.
Click on the plus button (+) in the Add a site row to assign a site to a student.
Select the classification the assigned site is for (if prompted).
Use the filters at the top to narrow your search for a site.
- Click the plus icon to the left of the site to see more information about the site
- If viewing a preference list, you can assign a site from the student’s list, or select the All Sites tab at the top to view all sites in your program.
Once you have a site selected, click the Assign button, and then confirm the site assignment. If your process allows for it, you can also assign the student a supervisor at their assigned site. Learn more here.
After assigning the site and/or supervisor you will then click on the Placement: Notify Student button (bell icon) to finalize the student's placement at the site and notify the student where they've been placed. If you'd like to finalize all assigned placements at once, click on the More menu to the right of the Placement Approval Grid and select "Finalize all placements" to notify all students at once.

NOTE: If a process requires both the site and supervisor to be assigned, but only the site has been assigned at the time that the "Finalize Placement" button is clicked, the notification of their supervisor assignment will go out immediately once the supervisor is assigned later on.

IMPORTANT: "Finalize placement" does not approve the placement overall. It simply notifies the student and supervisors of the assigned site and/or supervisor so that they can continue the placement process on their end. You will still need to complete Final Review once all site process tasks are complete to complete and approve the student's placement.
Once the placement has been finalized and the student has been notified, the site will then appear for the student in their Site Placements Workspace.
To assign an additional site, click the plus icon in the Assign a Site row and complete the process again.

You can require your students to submit a list of preferred sites that you can assign from. You do not have to assign any site from a student’s preference list.

Be sure to use the In Progress filter on your grid to view students who are ready to be assigned sites.

Please note that if you have this option turned on in a process, students cannot suggest a new site or pick their own site within the application process.
