How to Add Your Alumni Sites to your Experiential Learning Cloud

Overview

If you have been moved to the alumni program in Experiential Learning Cloud, your previous placements will no longer appear in your Timesheets. You can re-add your previous sites OR add a new site and/or supervisor using steps shown in the video and text below.

1. Go to your Site Placements workspace.
2. Click the (1) Select site step-tile. 
3. A list of sites already associated with the Alumni Program will appear.
   1.  If you don't see your site listed, click the Suggest site button at the bottom of the screen.
   2. Type in the name of your site. If you're adding a site you've been previously placed at in Experiential Learning Cloud, it should appear on the list of sites below. If you know your site is in Experiential Learning Cloud but is not appearing, please contact the support team. 
   3. Click Start next to your site's name or select My site is not listed to add the site. 
4. The task list with the Site Information Form will then appear. Click on the task to expand it and then click the Start button.
5. Complete the form and click Submit. You've now added your site! Way to go! Now it's time to add your site supervisor.
6. Click on the (2) Select supervisor step-tile. 
   1. If your site supervisor doesn't appear in the list, click the Suggest a Supervisor button. 
   2. Enter the first and last name of your site supervisor. If their name appears below, select it there. If their name does not appear, click the I'm Ready button.
7. The task list with the Supervisor Information Form will appear. Click on the task to expand it and then click the Start button.
8. Complete the form and click Submit. 
9. And that's it, you've now added your Alumni site!

Go to your Timesheets workspace and click on the Program dropdown and select your Alumni program. Now, you can start tracking time at your newly added site. If you have any questions, contact the support team. 

IMPORTANT: If you've added a new site that was not previously in Experiential Learning Cloud, a new site and site supervisor account will be created based on the information entered in your site profile and supervisor information forms. Your supervisor will receive an invitation inviting them to register for Experiential Learning Cloud where they can keep track of your progress in the system. However, supervisors do not need to register in order to sign time reports generated in Experiential Learning Cloud.
