Background

It's extremely important to test your time tracks before students start using them to ensure

1.  students can log time for all required activities
2. logged hours contribute to the correct subtotals in students’ timesheets.

Before you can test a time track
Create a test student and a test supervisor.
Place both test student and test supervisor at the same test site.
Create a direct supervision rule to connect the test student and test supervisor at that site.

Why this is required
Students (including test students) cannot log time in Experiential Learning Cloud until they have an approved placement with both a site and a supervisor.

• This ensures hours are saved within the correct site and supervisory relationship context.

How to test a time track

Watch the video and/or read the step by step instructions below for details:

1. Create a Test Class if you don’t already have one.
2. Place a test student in the test class.
3. Add a “Track” assignment to the class.
4. Log in as the test student.
5. Go to Assignments and click Start on the Track assignment to open the timesheets workspace where students track time.
6. Practice entering time.
7. Observe how hours are totaled:

• Daily totals in the columns at the top of the timesheet.
• Weekly and overall breakdowns by activity type in the rows at the far right of the timesheet.

Track change notes
Our Services Team can help make track changes, but some changes are only possible before students begin using a track.

Changes that can be made at any time

• Update the name of an activity
• Add a new activity
• Alter track requirements (e.g., change minimum total hours)
• Add new track requirements
• Remove track requirements

Changes that can only be made before students begin using a track

• Remove activities
• Move an activity from one subcategory to another
  • Example: move “Client-Centered Advocacy” from “Direct Total Hours” to “Indirect Total Hours”

If you need assistance making changes, contact the Services Team.

• Some changes can be made once students have started using the tracks and others cannot.
