Overview

Experiential Learning Cloud allows you to manage your sites.  You can update your site list by deleting unwanted and unused sites.

When to Delete Sites

If you have sites in your site list that were created in error and you need to remove them, they can be deleted. However, any sites at which students have been placed and have begun tracking time should not be deleted.

How to Delete Sites

1. Go to the Program Setup | Admin environment, and then to the Sites table.
2. Then locate the site(s) you wish to delete. Select the site(s) by checking the box to the left of the site name.
3. After checking the sites you wish to delete, scroll to the bottom and click on “Delete # Sites” to delete the sites you’ve checked.

IMPORTANT: Deleted sites will be permanently deleted and irrecoverable 30 days after deletion.

How Existing Associations Impact Site Deletion

You cannot delete sites that have existing associations (i.e. users placed at the site, timesheets that are associated with the site, supervision rules at the site).

Upon attempting to delete sites with existing associations, you will see the following modal, displaying the associations that are preventing deletion.

If "yes" is listed in any of the columns, this represents an association that is preventing the deletion of the site.

BEST PRACTICE: If these associations exist and you still wish to remove the site from your site list, it is best to make the site “inactive.”

If absolutely necessary, supervision rules and placements can be deleted within the site record itself. Timesheets can be deleted by the students they belong to, and Placements in process can be deleted from the site placements workspace by either a placement approver or by the student the process belongs to.

CAREFUL!  If any of the above-mentioned associations are deleted, they cannot be restored, so exercise caution when deleting any of these associations. In such cases, it is recommended that you simply inactivate the site rather than deleting existing associations.

Restoring Deleted Sites

1. Go to the Program Setup | Admin environment, and then to the Sites table.
2. Click the Trashcan icon in the upper corner of the table.
3. Select the site(s) you wish to restore and click Restore # Records.
4. Restored sites will not have a program association, so you will need to clear your program(s) filter(s) in order to find restored sites in your site list. Remember to re-associate them with your program(s) upon restoring deleted sites.

IMPORTANT: Sites can only be restored up to 30 days after their initial deletion. After 30 days, they will be irrecoverable.
