Deactivating Users and Sites in Experiential Learning Cloud

User and site records cannot always be completely deleted, as they are integrated with system data and established workflows. To ensure the integrity of historical records and overall system functionality, deactivation is the appropriate and recommended method for removing access.

How to Deactivate a User

Deactivating a user prevents them from logging in while maintaining their historical data.

1. Navigate to the Staff & Students table.
2. Click on the user you would like to deactivate.
3. Open the Details tab.
4. Locate the Active toggle at the bottom of the profile.
5. Click the toggle so that it is grayed out.

Once inactive, the user will no longer be able to log in to the system.

NOTE: If the "Active" toggle is not available for a registered student user, it is because they have purchased access to ELC through direct student-pay. Please contact Experiential Learning Cloud Support for further assistance.

How to Deactivate a Site

Before a site can be deactivated, all associated users must first be inactive.

1. Navigate to the Sites table.
2. Click on the site you would like to deactivate.
3. Open the Associated Users table.
4. For each listed user:
• Click on the user’s name.
• Click the Active toggle and ensure it is grayed out.

After all associated users are inactive:

5. Return to the site’s Details tab.
6. Click the Active toggle so that it is turned off grayed out.

The site is now successfully deactivated.
