Overview

Assign a wide range of tasks to students so that you and your faculty can track anything you need to review and watch student abilities, competencies, and experiences grow.

Where Can I Build Assignments?

Where you access the assignment Builder will be dependent upon your role.

1. Go to the Program Management | Supervision environment.
2. Click on the Assignments Tab.
3. Select a Class or Program from the dropdown menu.
4. Click + (in the upper right) to open the Assignments Builder.

Assignment Features

Name

An assignment's name will be seen by anyone completing or signing the assignment, so it should be as clear and concise as possible.

Instructions

Anyone completing or signing an assignment will also be able to see assignment instructions, so instructions should take into account multiple users' points of view, when possible.

Assignment Type

Multiple assignment types allow you to assign a wide range of tasks to students to track anything you need to review, all in one place.

Assignment Types include:

• Track Assignments - Learn how to create a track assignment
• Report Assignments -  Learn how to create a report assignment
• Form Assignments -  Learn how to create a form assignment
• Upload Assignments -  Learn how to create an upload assignment
• Offline Assignments - Learn how to create an offline assignment
• Video Assignments - Learn how to create a video assignment
  • Only available if video assessment is used by your program

Prerequisites

Prerequisites allow you to require that another assignment within the same class is completed prior to users beginning the assignment with the prerequisite.

Linked Assignments

The Linked Assignments setting allows you to link two or more assignments together. Linking related assignments together will easily allow the user to find and open related assignments while working on its counterpart. Learn more about completing linked assignments here.

• If a linked assignment is to be completed by Faculty or Site Supervisors, they can click on the linked assignment and begin completing it, whether or not it has been delegated to them.

Start Date

Start dates prevent users from beginning an assignment prior to that date.

Due Date

Due dates do not prevent an assignment from being submitted beyond a certain due date, but they provide a helpful reminder for students. When students view their assignment grid using the calendar view, assignments will be arranged by their due date.

Assigned To

Specify who an assignment is assigned to within a given class for maximum flexibility. Assignments can be assigned to all class members, not assigned, or assigned to a few specific class members. In class templates, assignments will either need to be assigned to all, or not assigned.

Assignments that are "not assigned" will still show up in the assignment grid for faculty and they can assign the assignment to the entire class, or to specific members, as needed.

Required/Optional

This setting influences the instructions students see on the assignment. If the assignment is set to required, students will see instructions indicating that the assignment is required. If the assignment is not required, students will see instructions indicating that the assignment is optional. In this setting as well, you can choose to make the assignment required for some, but not all students.

About

Ensure that your documents are organized logically by specifying who an assignment is "about". This setting determines the user whose record the document will automatically be stored in.

An assignment can be "about" a student (assignee), their course instructor (faculty), or their site supervisor (supervisor). This setting only determines how the document is filed. If a user is not the one to "complete" an assignment and they are not a signer or review on the assignment, they will not be able to see it, even if it is "about" them.

Completed By

Collect data directly from the correct source by designating who the assignment is completed by.

An assignment can be designated to be "completed by" a student (assignee), their course instructor (faculty), their field liaison, or their site supervisor (supervisor). This setting determines who gets to start filling out the document. If there are additional signers on a form, it may progress to other users after this individual has initiated the form.

Selecting "Student (assignee)" would allow the student to fill out the form first.

• If an assignment is completed by students, the "allow student resubmission" checkbox will appear. If student resubmission is allowed, students can make changes to an assignment after they have submitted it initially. If the original assignment was signed or reviewed by anyone, they will need to re-sign or review the updated version.

Selecting supervisor would allow the site supervisor to fill out the form first (once the student delegates it to them).

Selecting faculty would allow the course instructor to initiate the form.

Selecting field liaison would allow anyone with the field liaison supervision type over the student to whom the assignment belongs to initiate or receive the form.

Approval Process

Each assignment has an approval process to ensure that each is signed or reviewed by all necessary parties before it is considered complete. Signatures on forms and review steps are each a part of the approval process.

Signatures

Every form and report assignment should have at least one signature on it. Some may have multiple signatures, meaning that they will be routed between multiple users for signature before the assignment is considered complete. When a form or report is added to an assignment, its signature order will show up in the "approval process" section of the assignment builder. The first signer on a form should always be the person that the assignment is "completed by." From there, it can move on to other signers.

Report signatures can be required, optional, or disabled. Be sure that you have chosen the correct settings when creating a form assignment.

Read more about form signatures in: What can Experiential Learning Cloud's forms do?

Reviewers

To add a reviewer to an assignment, click the (+) in the top right corner of the Approval Process table.

Add the course instructor as an individual reviewer on an assignment (this should also be done in class templates), or choose a group reviewer so that the review task can be shared by multiple users or performed by someone other than the instructor of the course if needed.

Scoring

If your program utilizes an LTI 1.3 integration for which grade passback has been enabled, you will be able to add "Scoring" settings to your assignments. If you would like to send scores for an assignment back to the gradebook in your learning management system, set the type of score for an assignment to "Numeric", then, identify the total possible score for the assignment.

Assignment Attachments

By attaching documents to an assignment, you are sharing a document with all assignees and signers who will have access to the assignment. These attachments will show up alongside the assignment's instructions. Use this feature if you would like to share a work sample or more detailed instructions with all members of the class.

NOTE: Never attach sensitive information or documentation about one individual student to an assignment, as this information will be visible to all assignees.
