Customize your course content and adapt to student needs by updating and creating new assignments as needed, directly from the assignment grid.

 

How to Create Assignments from the Assignment Grid

 

Required Settings

1. Click the Manage Assignments button on your home screen. 
2. Select the class you want to add an assignment to from the dropdown menu. 
3. Click the (+) icon in the upper right corner to add a new assignment to the class. A blank assignment template will open.
4. Give your assignment a name.
5. Set the assignment type. There are 5 standard assignment types: form, offline, report, track, and upload. If your program uses the video assessment feature, you will also see a video option in this dropdown. Learn More about Assignment Types here.
   • If you select Form as the assignment type, an additional field will appear showing the forms you have to choose from.
   • If you select Report as the assignment type, an additional field will appear showing the reports you have to choose from.

   • If you select Track as the assignment type, an additional field will appear showing the time tracks you have to choose from. 
     • A track should only be assigned once per class. Once a track has been assigned one time, students will have access to log their time in it on an ongoing basis. 
   • If you select Upload as the assignment type, an additional field will appear with a list of document types to choose from. 
     • If you do not see the document type you are asking students to upload, you can select Other. 
     • The Liability Insurance document type will require the person completing the assignment to enter an expiration date before they can upload their document. 
6. Set who the assignment is Assigned to. 
   • By default, the assignment will be assigned to all class members.
   • By clicking on the blue text, you can select individual members of the class that the assignment should be assigned to instead. By doing so, only those students will be able to see and access the assignment.
7. Set the assignment as Required or Optional. 
   • This setting influences the instructions students see on the assignment.
   • If the assignment is set to required, students will see instructions indicating that the assignment is required. If the assignment is not required, students will see instructions indicating that the assignment is optional. In this setting as well, you can choose to make the assignment required for some, but not all students.
8. IMPORTANT: Set who the assignment is About.  
   • The About setting determines where the assignment will be filed in your Experiential Learning Cloud database.
   • The vast majority of documents in Experiential Learning Cloud should be about the Student (assignee). One notable exception would be in cases where the student is evaluating their site supervisor.
9. IMPORTANT: Set who the assignment is Completed By.  
   • The Completed by setting determines who will be the first person to fill out the form.
   • Selecting "Student (assignee)" would allow the student to fill out the form first. 
     • If an assignment is completed by students, the "allow student resubmission" checkbox will appear. If student resubmission is allowed, students can make changes to an assignment after they have submitted it initially. If the original assignment was signed or reviewed by anyone, they will need to re-sign or review the updated version.  
   • Selecting supervisor would allow the site supervisor to fill out the form first (once the student delegates it to them). 
   • Selecting faculty would allow you as the course instructor to initiate the form.
10. Once you have finished creating an assignment, you can click the (X) in the upper right corner of the assignment builder. All changes will be saved and the new assignment will be visible in your assignment grid. 

 

Optional Additions

1. Give your assignment Instructions. 
   • This is a great way to give your students more information about your expectations for this assignment. 
   • You can also include links to other websites or university resources in this space. Any information provided here will be available to students when they access the assignment from their own assignments workspace.
2. Set Prerequisites to prevent students from starting this assignment until other class assignments have been completed.
3. Set an assignment Start Date to prevent students from starting an assignment prior to that date.
4. Set an assignment Due Date to remind students to complete the assignment by that date.
   • The assignment due date does not prevent students from submitting an assignment after that date has passed.
5. Upload Files to an assignment as necessary.
   • These files will be seen by all individuals who interact with the assignment, so the files which are attached to assignments should only be documents which are safe to share with this broad group of people.
     • Common examples of uploaded files include program manuals, course syllabi, or samples of the desired work product for a given assignment.
6. Add yourself as a reviewer on an assignment in the Approval Process section
   • Click the (+) icon on the right side of this section. Select your own name from under the "individual reviewer" heading. 
   • By adding yourself as a reviewer, the students' assignments will not be considered "complete" until you have approved it.

How to Edit Assignments from the Assignment Grid

1. To edit an assignment, click on the assignment name and the assignment builder modal will open.
   • Editing assignments works best when nobody in the class has started an assignment yet
   • If nobody has started an assignment, all status icons for that assignment will be the grey "not started" icon
2. If nobody in the class has started an assignment, you can change anything about it, including the assignment type, the form or report used, and who the form is completed by.
3. If anyone in the class has started an assignment, you will only be able to change the assignment name, the assignment instructions, prerequisites, the start date, the due date, who it is assigned to, and who the assignment is about, and (in report assignments) whether the signatures are optional, required, or disabled. 
   • Updating the prerequisites, the signature requirements, and who the assignment is about will only apply to students who have not yet submitted their assignment at the time  that the assignment is updated. 
4. The fields which cannot be changed once an assignment has been started will be indicated by black italic text, rather than the editable, blue, underlined text.
5. Reviewers can be added to an assignment after it has been started by a student, but the additional review step will only apply to students who have not yet submitted their assignment at the time that the assignment is updated.
6. You may see that there are additional assignments in your class with no status icons under any students' names. These assignments have been added to your class but are not assigned. You can assign these to students on an ad-hoc basis as the need arises.
7. All changes made to existing assignments will be applied automatically. If you don't see your changes take effect immediately, try refreshing your screen.

How to Copy Assignments in the Assignment Grid

1. To copy an assignment, click on the assignment name. The assignment builder modal will open.
2. At the bottom of the assignment builder modal, you will find a Copy Assignment button.
3. Click this button and confirm you wish to copy the assignment.
4. A copy of the assignment will be added to the course. The name of the copied assignment will have "(copy)" at the end of the name. You can edit the name and additional assignment settings as needed. 
   • a 'delete' button at the bottom of the assignment builder modal allows the user to delete assignments. Faculty can delete their own assignment they created!
