Overview
Time reports help track student progress toward licensure and allow supervisors to review and approve hours. This guide shows Field Instructors/Supervisors how to review a student’s submitted time report in Experiential Learning Cloud.

How to review a student’s time report
1. Receive notification

After a student submits their time report, you’ll receive an email prompting you to log in to Experiential Learning Cloud. The system will also flag a task for you.

2. Open your tasks

Log in and click the Tasks button to view outstanding tasks. Locate the task associated with the student’s time report.

3. View the time report

1. Click View on the task to open the submitted time report.
2. Scroll through the report to review entries, dates, activity types, and totals to ensure accuracy.

4. Approve and sign when correct

1. If the report is accurate, click the Sign Here tag to sign.
2. You may sign using your mouse (draw) or by entering your password (digital signature). Once signed, the report is automatically routed to the next signer in the workflow.

5. Request corrections when incorrect

1. If the report contains errors, use the communication or comment option to send a message to the student requesting corrections.
2. The student should edit and resubmit the report for your review.

Notes and best practices

• Verify daily and weekly totals as well as activity-specific subtotals before signing.
• Keep a record of communications about corrections within the report task for auditability.
• If you don’t receive an email notification, check your task list in the application and confirm your notification settings.
• Contact your program administrator or submit a Support case if you need help accessing the task, signing, or if approval routing is incorrect.
• If you print a report, you can upload the signed report into your database for safekeeping. 

Troubleshooting

Missing Sign Here tag: Confirm you have the appropriate signer role for that report and that the workflow includes you.

Signature not accepted: Try the alternate signing method (mouse vs. password) and ensure your account password is current.

Report not routing: Contact your administrator to verify the approval workflow configuration.
