Overview

Time Reports in Experiential Learning Cloud show multiple students' progress at once, across one or more time tracks. There are a few reports you can use to get the information needed. See the details below.

524 - Students Hours Report

Export a report that shows you the activity hours and cumulative hours of one or more students toward one or more time tracks. An optional class/group filter allows you to further refine the list of students. If no activities are selected, the report will display the total hours logged in top-level activities.

Report Parameters

Format: Select the format of the exported data.

Student: An optional filter to select one or more students. If one or more students are selected, the activity and group/class filter will be disabled.

Track: You can either select one track, multiple tracks, or all tracks. If more than one track is selected, the activity and group/class filter will be disabled. If multiple tracks are selected, you will see a column labeled "Student Total" in the report output. This will display the total number of hours accrued by the student across the displayed time tracks.

Activity: An optional filter to select one or more activities for a single student. If multiple students or multiple tracks are selected, the filter will be disabled, and all activities will be displayed.

Date Range: An optional filter to select a date range. If no date range is selected, all dates will be displayed. You can also check the box to display hours by week.

Group: An optional filter to further refine the list of students. This filter will be disabled if you select one or more students using the Student filter.
Sub-Program(s): An optional filter to only show data related to students who are active in the selected sub-program(s).

Display Student Sub-Program(s): When checked, a "Sub-Program(s)" column will be added to the report output, and each student's sub-program(s) will be listed.
Filter Hours by Associated Sub-Program(s): When checked, the report output will be filtered to only show hours that are associated with any of the selected sub-program(s). NOTE: This option should only be enabled when the program setting "Associate Timesheets with Sub-Program(s)" is enabled for one or more of the programs of the user running the report.

Approval Status: This is a multiselect filter. Student hours will be segregated by the approval status of their logged time: Approved, Entered, Review and Submit, and Submitted.

525 - Student Hours by Tag Report

Export a report showing how many hours one or more students have completed with a particular tag and the cumulative hours of each student towards a single track or multiple tracks. An optional class/group filter allows you to further refine the list of students.

Report Parameters

Format: Select the format of the exported data.

Date Range: An optional filter to select a date range. If no date range is selected, all dates will be displayed. You can also check the box to display hours by week.

Track: You can either select one track, multiple tracks, or all tracks.

Tag: You can select one or more tags. You can also check the box to display only approved hours, if desired.

Group: An optional filter to further refine the list of students to those included in the selected group(s).

526 – Student Hours and Flavors by Site and Supervisor

Export a spreadsheet displaying the hours and flavors logged by students on one or more time tracks, showing the hours logged with each site and supervisor with whom the student has worked. Optional group and supervisee filters allow you to further refine the list of students displayed in the report’s output.

The flavor columns will display the number of hours a student has logged across all associated activities within the indicated date range.

NOTE: A given activity hour can have multiple flavors logged against it. So, for example, if a student had one Direct Service Hour logged and that hour had a Diversity flavor AND a Setting flavor associated with it, those unique flavors would contribute to the flavors sub-totals, but the overall hours added to the track is a total of one hour.

Report Parameters

Date Range: An optional filter to select a date range. If no date range is selected, the output will display all timesheets, not limited to a specific timeframe.

Program: This optional filter will allow you to limit the output to hours logged within the selected program(s). Select ALL to display records associated with all programs.

Group: This optional filter will allow you to limit the output to hours logged by students in specific groups. Select ALL to display records associated with students in all groups.

Student: This optional filter will allow you to limit the output to hours logged by one or more students.

Track: You can either select one track, multiple tracks, or all tracks.

Approval Status: This is a multiselect filter. Student hours will be segregated by the approval status of their logged time: Approved, Entered, Review and Submit, and Submitted.

NOTE: The report’s output should display all unique combinations of site and supervisor for each student whose data will be included in the report.

527 – Time Approval Raw Data Report

Export a report that shows your students' hours on a time track by approval status. This report will only work if your program uses the time approval feature.

Format: Select the format of the exported data.
