When to Collaborate Using Sticky Notes

Use sticky notes to check in with other collaborators on a given document, or to get ideas from individuals that may be able to assist such as site supervisors, field instructors, cooperating teachers, course instructors, or university supervisors.

Use this feature to collaborate on learning agreements with field instructors prior to submitting them.

Who Can Create a Sticky Note? 

Notes can be created by the person who initially fills out a document at any time. 

• Faculty will be able to add notes to documents after the document has been started from the Assignment grid.
• Additional users will be able to add notes to documents once the document has come to them to complete, review, or sign.
• After a user has interacted with a document, they will always be able to re-open it and create notes as desired.

Who Can Respond to a Sticky Note? 

Users can view and respond to notes for which they are the recipients. 

If a user is the recipient of a note but the document has not been delegated to them:

• they will be able to view the note and the document
• they will be able to respond to the note
• they will not be able to make edits to the document or apply new notes. 

How to Collaborate Using Sticky Notes

Creating a Note

1. Click the “Notes” icon in the upper right corner of the document
2. All fields on the document will be highlighted 
3. Select the field where you would like to attach a note 
4. Select the recipient(s) of the note
5. Type the note
6. Click the pin icon to stick the note to the document
   • The recipient(s) will be notified that a note has been applied to it.
7. Click the information icon if you would like to apply tags to the note or to make it a public note
   • Tags: Tags can be applied to notes for additional context.
     • Tags have custom colors.
     • Once a tag is selected, the note and the note icon will be updated to that color
       • This makes it easier for recipients to distinguish between multiple notes on a single document. 
     • Tags must be created by program administrators in order to be selectable within notes.
   • Public Notes: Notes are only visible to the individuals selected as “recipients” on the note.
     • Selecting “Public Note” will make a note visible to all users with whom the document is shared.
     • If you would like an individual to receive a notification about a public note, they should also be selected in the "recipients" field mentioned in step 4 above.

Viewing and Responding to a Sticky Note

1. Sticky note recipients will be notified that they have received a note in their communications hub.
   • The body of the communication will display the note.
2. By clicking any Related Records at the bottom of the communications hub message, you will be able to view the entire document to which the sticky note is attached. 
3. Click on any note icons to view the notes.
4. Type a response in the Reply field.
5. Click the pin icon to send a response to the note's creator. 
   • Include additional recipients by clicking the information icon in the upper left corner of the note.
