Purpose

Messages via the Communications Hub are your primary way to securely communicate with others within your Experiential Learning Cloud database. Learn how to create Recipient Groups to streamline your process of sending messages to larger groups of individuals.

When to Use Recipient Groups

Recipient Groups are most helpful when sending out mass communications. Recipient groups allow you to quickly message users in a certain group, in your program, in a specific sub-program, and those with a specific role.

How to use Recipient Groups

1. First, click on the Communications Hub in the top right corner of your screen.
2. Click Compose, then click Message.
3. In the To field, you will see Search to add recipient. This is where you can search for and add individual users as recipients of a message.
4. To send to a recipient group you will need to create a recipient group by clicking on Recipient groups.

5. Then, use one or more of the filters to create a new recipient group.
   • The filters you will see are dependent on your role.
     • Individuals with Program Administrative Functions Plus + role will see filters for role, group, program, and sub-program.
     • Individuals with the Class Functions Plus + role will only see the group filter.
   • The filters allow you to pull all users with a given role, or membership in a given group, program, or sub-program into the recipient group.
     • By selecting a role from the Role filter, you are including users who are in a common group or program with you, and who currently have the selected role.
       • If you do not make a selection from the Group, Program, or Sub-Program filters along with your selection from the Role filter, the only recipients in the group will be users who have the selected role along with a direct supervision rule connecting them to you.
       • If you do make a selection from the Group, Program, or Sub-Program filters along with your selection from the Role filter, the recipient group will include any users with the selected role who are a member of the Group, Program, or Sub-Program selected.
     • By selecting a group from the Group filter, you are including all users who are currently a member of that group.
     • By selecting a program from the Program filter, you are including all users who are currently a member of that program.
     • By selecting a sub-program from the Sub-Program filter, you are including all users who are currently a member of that sub-program.
       • By making a selection from a combination of the group, program, and sub-program filters, you are including users who are associated with any of the selected filters. In other words, making a selection from multiple filters could make your recipient group larger, rather than making it more focused.
