Communicating via the Communication Hub (Experiential Learning Cloud)

Overview
Easily send, receive, and manage communications with stakeholders using the Communication Hub in Experiential Learning Cloud (ELC). The Hub supports Messages, Notes, and Tasks and provides inbox notifications, email/SMS links to content, related-record attachments, file uploads, forwarding, and reply threading.

View a Communication
When you receive a communication, the envelope icon in the top-right displays a badge count.

• Click the envelope icon to open the Communication drop-down. Up to five most recent communications appear.
• Click a communication or View All to open the Communication Hub overlay.
• The overlay opens either to the selected communication or to the full communications list.

Open from an Email or Text Notification

• Notifications (email/SMS) include a link to the specific message.
  • Open the notification and click the link — the ELC login page opens in a new browser window.
  • Log in; the Communication Hub overlay opens to the new or updated communication.

HIPAA tip: Notification links always go to the login page even if you have an active session. Always log out when finished.

Compose a Communication
1. Click the envelope icon → Compose.
2. Choose Message, Note, or Task:

• Message: direct user-to-user communication.
• Note: often created from within a document or assignment; similar to messages when composed from the Hub.
• Task: attach related records and request recipients complete a form or upload a file.
  3. The Communication Hub opens in composition mode.
  4. Fill in:
  • To: type and select recipient(s) from the drop-down. (Faculty and program admins can send to recipient groups.)
  • Subject: enter a subject.
  • Message: enter the message body.

5. Settings (optional):

• • Priority: Normal (default), or set to higher; Critical marks as an Alert and pins it to the top of recipients’ inboxes.
  • Tags: add tags; Critical tag also marks as Alert.
       - Due Date: include for Task-type communications.

6. Attach a Related Record to a Task:

• • Click (+) → Select task to attach.
  • Choose New or Existing document:
    • New: recipient starts a new document. Select document type (User documents = about an individual; Site documents = about a site), then choose file or form.
      • If Form, select the form and the user/site the form concerns; if many recipients, choose “about whoever receives the task.”
      • Select program association.
    • Existing: recipient will add to an existing document
      • select the specific document and document type.
      • Related records can be removed by hovering over the thumbnail and clicking delete (before or after sending).

7. Attach Files: Click Upload to add files from your device.

• • Remove attachments by hovering over the thumbnail and clicking delete (before sending).

8. Click Send.

Reply to a Communication

• Open the communication and click Reply all under the comment thread.
• Optionally add/remove recipients, type your reply, and click Send.
• Visibility rules:
  • Messages: only listed recipients see replies.
  • Notes, Tasks, Tickets: all recipients see all comments, even if a comment is directed to a specific user.

Reply to a Specific Comment (Notes and Tasks only)

• Locate the comment (expand if collapsed).
• Click the reply icon to the right of that comment.
  • A reply box opens below the comment. Recipients field will list the user who posted the original comment; add recipients as needed.
• Type your reply and click Send.
• The reply appears nested under the original comment.

Note: Nested replies are hidden if the parent comment is collapsed; other staff on the communication can still view nested replies when parent is expanded.

Forward a Message (Message type only)
1. Open the message in the Communication Hub and click Forward.
2. A reply window appears beneath the most recent response

• Checkboxes appear to the right of each prior message (checked by default).
  • Use Check All / Uncheck All or manually select which prior messages to include.

3. Select recipient(s) in the To field (you must include at least one).
4. Enter body text (required when forwarding) and click Send.

Additional Admin Features

• Users with the program administrative functions plus + role can:
  • Send to recipient groups.
  • Use communication templates to expedite mass or repetitive communications.

Troubleshooting & Tips

If a notification link opens but you are already logged in, the system still requires re-login — this is intentional for security.
Use Priority and Tags to flag urgent items and help recipients filter their inbox.
For Tasks with forms, confirm you selected the correct document type (user vs. site) so recipients see the appropriate form options.

Contact & Support
If you need help composing, forwarding, or managing communications, contact your institution’s ELC administrator or open a support case through your organization’s Lumivero/ELC support portal.
