Placement Exports

Export data for particular site placement processes in the “export” menu in the placement approval workspace. This will export placement information for all students that the grid is currently filtered to.

What information is included?

The output of information will include one row per process per student. Students without a process instance get one row with the placement group they are associated with and personal information listed only. Student preferences are included on all rows associated with that student (if included in the site process).

Note: the exported file can be re-imported.

The exported spreadsheet includes the following columns:

• Placement Process
• Placement Group
• Student First Name
• Student Last Name
• Student Email Address
• Student Program
• Student Sub-Program(s) (pipe-separated if multiple)
• Student Preference Rank
• Parent Site (populated if a referral is in progress)
• Location
• Site Supervisor First Name, Last Name, and Email
• Task Supervisor First Name, Last Name, and Email (only included if the task supervisor step is enabled for the process)
• Placement Tag(s) (pipe-separated if multiple)

Placement Imports

Placements can be imported in the “Placement Approval” Workspace. The import feature can be accessed by clicking the ‘upload’ icon in the upper right of the workspace.

Important note on imports: The ability to import a placement (not to be confused with a user record) is only available when the site process uses “assign” logic for both the site and supervisor steps. This feature will not work with processes that use the ‘Guided’ or ‘Student Driven’ models.

Generating an import template

From within the import modal, you can generate a blank template spreadsheet to fill out and re-import.

What happens after a successful import?

A successful import will create a process instance with the assigned site, supervisor(s), and placement tags at a tentative status. The placement approver can then continue working from the Placement Approval Grid.

Import validation

If an import is not successful, errors will appear indicating what triggered the failure. Common causes include:

• Placement process does not exist
• Placement group does not exist
• Student not found (no email match)
• Site not found (name does not match)
• Supervisor not found (no email match)
• Placement tag does not exist

If a matching in-progress or tentative placement instance already exists for the same student, site, and supervisor combination, you will be prompted to either skip those rows or create duplicate placements.
