Exporting placement data

1. Open the Placement Groups module
2. Click the Search tab at the top left of the window

3. Enter any filter details, if the need is to export “batches” of placements at a time
4. Once filter details are entered (or not), click the Search button at the right

5. The export will include details from all of the placement groups in the search results
6. Click the Export button toward the left side of the ribbon. Choose the “focus” of the export: Students or Placements Requests.
   1. Students was chosen for the purposes of this article

7. A dialog window will open
8. ALWAYS click the triangle caret when one is available at the left. This displays specific fields to select that are about the entity at the top of the level.

For example, when the triangle next to Student is clicked in the screenshot below, multiple fields about the student are displayed.

Since we are exporting from the placement group module, the focus of this export is on placements. Therefore, the immediate next node to expand is Placement group (i.e., the placement group[s] the student is in).

9. Select only the fields needed for the export, being especially mindful of the level the fields are under. For example, the “Date from/to” fields in the screenshot above refer to the placement group, not to the student’s specific placement dates (if they varied from the placement group dates).
   1. If the box next to Student is ticked, it auto-selects every field below it, which is usually not needed
   2. Every selected field will create a column heading on the exported spreadsheet
10. To select the placement site, scroll down to Placements, expand Placement Request and then expand Site

1. 1. Select necessary fields under Site, keeping in mind that a separate export from the Sites module can include most of the site details needed. Scroll back to the word “Site”, and click the black triangle to collapse this node.
   2. The Placement request node is still expanded to select any fields needed. Once finished, collapse this node, as well.
   3. This brings us back to the Placements node.

11. The Duration is the number of approved hours the student completed while on placement.

12. The next most common fields to export from here are the Position details, which is where to find the Site Mentor and University Supervisor details.
    1. Remember to click the triangle caret to select only the fields needed

13. Once all of the necessary fields are selected, there is an option to save the “layout” (i.e., selected fields) at the top of the window. This layout will then be available to be selected for the next export, so that all of the fields do not need to be selected again.
    1. Click the green + at the top of the window

1. 2. Name the layout, and click the green check mark

14. Once happy with the selected fields and saved layout, click the Export button at the bottom

15. There will be a prompt to save the file, and then 2-3 windows on which to click “OK” before Excel fully opens with the data.
16. NOTE: Once the data is outside Sonia, it is outside the scope of Sonia support. Sonia Support cannot assist with formatting or otherwise modifying the data at this point.
17. When ready to close this file, there will be another prompt to save. The first save was to save as an xml file type; the second save is for an xlsx file type.
