Sonia: Copying Placement Groups

Introduction

When creating “new” placement groups, simply copying another placement group can be more efficient than creating one “from scratch”. One can ensure they are including necessary settings, workflows, and more!

This article uses default Sonia terminology.

Copying a placement group

1. Open an existing placement group.
2. Click the Copy button at the top left, and choose Placement Group.

Defining the new placement group

1. The window shown below will open for the user to define a placement group Code, Name, and Dates for the new group – keeping in mind that the placement group Code and Name must be unique.

2. Select the settings and items to copy from the previous group to the new group. If an item had not been defined in the previous group, do not select it in the Copy window, as it can cause the copy to take longer. For example, if the previous placement group did not contain Notes, Documents, or Links, do not check those boxes to include in the copy.
3. The Settings list means you want to select settings to copy that had been defined in that placement group’s Settings.

4. Selecting Placement requests activates the items below it as well as the Placements and Students items:
   • Placement requests in Confirmed or Unconfirmed status will copy as-is.
   • Placement requests in Cancelled or Rejected status will not copy.
5. Selecting Placements activates the items below it as well as the Positions option.
6. Copying Positions means any positions that had been assigned to placements in the previous group will be included in the new group. This includes specific mentors, supervisors, topics, and other details.

After copying

1. The Copy window will stay open in case you want to create another placement group. If another one is not needed, simply click Close.
2. Open the new placement group’s Details page, and edit the following fields as needed, as they will copy as-is from the previous placement group:

• Area
• Default Subject
• Block Code
• Estimated Places
• Expected Duration
