Assigning Sonia Online Usernames

Determining if an individual user already has a username

Quickly determine whether an individual has a username by opening their record in Sonia and viewing the Impersonate icon. If the Impersonate button is...

• Grayed out = no username (or, it could mean they are locked out or not ‘approved’)
• Colorful = username exists for the user.

Creating a username for an individual Sonia Online user

1. Open the user’s profile
2. On the Details page, scroll down to “Sonia Online sign in”
3. Click the edit pencil
4. The dialog box below will appear.
   1. Enter the user’s username – could be their email address or, if a student, their student code or university username
   2. Select Sonia or University authentication provider. Whatever is displayed as default is probably the correct option.
   3. If Sonia is listed as the Provider, tick the ‘Approved’ box
   4. No need to do anything with the password.
   5. Click OK to close the window
5. Save the user’s profile.

Determining if a group of users have a username

1. Open the module of the role (e.g., Students, Site Contacts, Supervisors)
2. Click the Search tab at the top left
3. Click the Add Details button > Sonia Online > Has username
4. In the "Has username" field that now appears as a filter, select No
5. Click the Search button at the right

Assigning usernames in bulk

1. Open the module of the role (e.g, Students, Site Contacts, Supervisors) needing usernames
2. Click the Search tab at the top
3. Filter to the group of people needing usernames. Perhaps filter to those who do not have a username, as in the example below.
4. Click the Sonia Online Sign In button on the ribbon

5. The dialog box below will appear.
   1. Indicate what should be used as the username (email address is most common, as it is unique)
   2. Set the access as Approved
   3. Indicate if the record should be skipped if a username has already been set
   4. Once you click the OK button at the bottom of this box (not pictured), wait for the progress bar to finish before closing the window
