Experiential Learning Cloud: Time Approval (Field Faculty)

Time can be approved by signed time-log reports (send for signatures) or via Timesheets' Submit for Approval: supervisors sign or approve selected entries.

Overview

Time entered on your track can be 'approved' in two different ways, depending on what is set up for your school's Experiential Learning Cloud.

Time entered on your track can be 'approved' via signed off track hours logs.
Time can be approved via the Submit for Approval feature in your Timesheets environment.

Via Signed Time Logs

Note: Time logs can be submitted via your Assignments or Timesheets environment. Please see: how to run a report.

Select the report you wish to run. If running the report outside of an assignment, make sure to select the report that bests suits your needs.
Enter the parameters for the report.
Select the appropriate supervisors to sign off on your hours and then when you have all the parameters for the report set, click the Send for Signatures button.
A preview of the report will appear. Check to make sure your hours are appearing correctly and then click the Sign to Send button.
Sign the report. Once signed, it will be sent to the selected supervisors for signature. You will receive a communication hub notification as each selected user signs the report, 'approving' your hours.

Via the Submit for Approval feature

In your Timesheets environment

Click the More Actions button.
Select Submit for Approval.
- This option will only appear if you school has time approval set up this way.
Select the supervisor you want to send your timesheets to for approval.
- Your supervisor's name will only appear in this dropdown if:
  1. You have time entries entered with them selected as the supervisor and
  2. You have not already submitted all time entries with them as supervisor
- If the dropdown menu is blank, you have submitted all of your current time entries for approval.
Click Open.
Your Agenda view will then open, showing all time entries with the selected supervisor and the status of Entered.
Check the boxes to the left of each time entry to send them for approval. You can select individual records, or select them all at once.
Once you have the records selected, click the Send # Timesheets for approval button.
Your timesheets have now been sent for approval. You can see the status of all your timesheets by opening the Agenda view in your Timesheets environment, and filtering by Approval Status. You will receive a notification in your communication hub when your time is approved.
