Overview

Run reports on-demand to view program, placement, and time data.

Note: Report assignments are often pre-assigned while you’re enrolled in a program.

Complete any report assignments in your Assignments workspace before running ad-hoc time reports.

Running a Time Report

See the video and read the text below for details.

The video tutorial uses the 514 Report as an example.

How to Run a Report

Selecting report parameters:

1. Open the Timesheets environment. Click More Actions, then select Run a report.
2. Choose the desired report.
3. Complete any fields highlighted in red; required fields must be filled.
4. Specify as many parameters as needed—the more specific the selections, the narrower the report results.
5. Enter the date range via the dropdown or by inputting specific start and end dates.
   • Important: The selected date range determines which hours display in the activity columns. The cumulative hours shown for a track reflect the total currently logged on the track at the time the report is run, not the sum of hours between the selected dates.
6. Select the program.
7. Select a single track to report on (reports can run on only one track at a time).
8. Select any site supervisors or program faculty/staff to appear as signers.
   • Site supervisors appear in the Site Supervisors dropdown
   • Faculty/staff appear in the Program Faculty/Staff dropdown.
   • Signing order is fixed: student first, then site supervisor(s), then program faculty/staff.
   • Optional checkboxes:
     • Filter hours by placement supervisor: when checked, the report shows only hours entered under the specified supervisor(s).
     • Include associated notes (available for 501, 502, 514, 522, and 523 reports only): when checked, notes associated with included time entries appear in a separate table at the end of the report.

Generating or sending the report:

After all required parameters are selected, choose one of the following:

1. Send for Signature(s) to route the report for electronic signatures through Experiential Learning Cloud.
2. Generate PDF to create a local copy of the report without routing for signatures.
   • If Send for Signature(s) is selected, a preview appears listing all signers with checkboxes next to each name.
   • Unchecking a signer removes that signer’s signature line from the report.
3. Click the preview icon under a signer’s name to open a larger preview in a new tab.
   • To change parameters, click Cancel.
   • To proceed with electronic signing, click Sign to Send.
     • When Sign to Send is selected, the signer prompt appears.
     • After signing, the report is automatically routed to the next signer in the list.
     • The report remains viewable at any point during the signing workflow.

Locating completed reports:

Reports run outside of an assignment save to Other Documents in the Assignments environment.
Reports run within an assignment appear inside that assignment.

The Start Over button in the assignment restarts the report process if needed.
