Generate PDFs of all of the hours logged for a given timeframe and obtain signatures from site supervisors and program faculty to validate your field experience for current and future record-keeping needs.

As a part of your field experience coursework in Experiential Learning Cloud, you will likely have time report assignments to complete. Time reports are generated as printable PDFs which can be sent digitally to site supervisors and program faculty for review and signature. By completing report assignments as a student, you will always be able to demonstrate that your hours have been validated by your site supervisor!

Your program should already have set up report assignments for the frequency at which they expect you to run time reports, so all you need to do is complete the assignments which have been laid out for you!

You can run additional reports, aside from those required in your Assignments workspace, should you need to! Learn more here.

How to Complete a Report Assignment

1. Go to your Assignments workspace
2. Click on a report assignment
3. Click Start
4. Input the date range for the report
   • If your program requires you to run reports on a weekly basis, you simply need to select a date within the week that you are running the report for. Weekly time reports will always display hours logged from Sunday to Saturday of the week in which the selected date falls.
   • If your program requires you to run reports on a monthly basis, you can use the pre-selects on the left side of the report generator to select a recent month.
   • If your program requires you to run reports on any other time interval, simply select the start and end date of the date range for which you need to generate the report.
5. Select your program
6. Select the track you want to run the report on. You can run a report on only one track at a time.
7. Select the site supervisor(s) you want to sign the report in the first signature field
   • If you work with multiple supervisors:
     • Most reports allow you to select multiple names in the site supervisor dropdown to send one report to all of them
     • Or, you can send a tailored report to each site supervisor by selecting the Filter Hours by Site Supervisor Selected Above checkbox. This will ensure that the hours which are displayed on the report are only the hours logged under the supervision of the supervisor the report is sent to. This option works best if your program has assigned multiple reports for each time period. If they have not, you will need to run an ad-hoc report for any additional reports you need to run.

   • NOTE: If you are unsure which of the above options is right for you, check with your instructor and site supervisors.

8. Select your instructor's name in the Program Faculty/Staff field.
9. If you check the Include associated notes checkbox, the report will also show the notes associated with any time entries included in the report. The notes will be located in their own table, on their own page at the end of the report.
10. When you have made selections for all required parameters, click Send for Signatures to send the report for signatures electronically.
11. A preview of the report will show up. Use this opportunity to confirm that all of the hours displayed look accurate.
12. Sign the report electronically and click Sign and Send. The report will automatically be sent to the next signer listed.

NOTE: Reports are static documents. If additional time entries are added to or removed from your track after you have generated a report, you will need to select Make Changes within the report assignment, Then, select Open and then Start Over to generate a new report which displays the updated totals.

Including Notes in Reports

Many time reports can display the notes that students have recorded in association with their hours logged.

In order for these notes to show up on the report, the individual generating the report needs to check the “Include Associated Notes” checkbox prior to selecting “Send for Signatures” or “Generate PDF.”

The resulting report will display any notes associated with any time entries included in the report, in the following format.
