Exporting site contact data (using default Sonia terminology)

The Site Contacts module includes anyone who is affiliated with sites, regardless of their role at the site and whether they are currently hosting or supervising students.

To export site contact data:

1. Open the Site Contacts module
2. Click the Search tab at the top left of the window

3. Enter any filter details, if the need is to export “batches” of site contacts at a time
4. Once filter details are entered (or not), click the Search button at the right

5. The export will include details about all of the site contacts in the search results
6. Click the Export button toward the left side of the ribbon

7. A dialog window will open
8. ALWAYS click the triangle caret when one is available at the left. This displays specific fields to select that are about the entity at the top of the level.

For example, when the triangle next to Site contact is clicked in the screenshot below, multiple fields about the site contact are displayed.

9. Select only the fields needed for the export
   1. If the box next to Site Contact is ticked, it auto-selects every field below it, which is usually not needed
   2. Every selected field will create a column heading on the exported spreadsheet
10. Once all of the necessary fields are selected, there is an option to save the “layout” (i.e., selected fields) at the top of the window. This layout will then be available to be selected for the next export, so that all of the fields do not need to be selected again.
    1. Click the green + at the top of the window

1. 2. Name the layout, and click the green check mark

11. Once happy with the selected fields and saved layout, click the Export button at the bottom

12. There will be a prompt to save the file, and then 2-3 windows on which to click “OK” before Excel fully opens with the data.
13. NOTE: Once the data is outside Sonia, it is outside the scope of Sonia support. Sonia Support cannot assist with formatting or otherwise modifying the data at this point.
