Who appears as a signing option on a form is controlled by a combination of rules, so that only the appropriate faculty or staff can sign based on their role, responsibilities, and system configuration.

This article explains how signer tags, signature lines, and supervision relationships work together to control who shows up in a signature dropdown.

What determines who can sign

Three things have to line up.

• Signature lines on the form — each form can include one or more signature lines, such as Instructor, Site Supervisor, or Program Director. Each line is configured to accept specific signer tags.
• Signer tags — attributes assigned to user accounts, usually automatically based on the user's role. These determine which signature lines a person is eligible to sign.
• Supervision relationships — the user also needs a specific relationship to the relevant course or program, depending on the task type.

Faculty signature lines

Placement tasks

A faculty member appears in a signature dropdown for a placement task only if both of the following are true.

1. The signature line on the form includes a signer tag that matches one assigned to the user.
   • For example, a University Supervisor signature line that accepts ELC - Champion and Tevera - Instructor. A user with either tag meets this condition.
2. The user has supervision over the relevant program. For placement tasks, this means supervision over the entire program.

Course assignments

A faculty member appears in a signature dropdown for a course assignment only if both of the following are true.

1. The form includes a signature line matching a signer tag assigned to the user.
   • For example, a Course Instructor signature line that accepts ELC - Instructor.
2. The user has supervision over the relevant course or student. This can be either:
   • Supervision over the course, which is the most common arrangement for course assignments.
   • Direct supervision over the student.
   • Supervision over a cohort of students (such as a Field Liaison)

Student signature lines

A student with the Student role can sign their assignments in their assigned courses and placement processes.

Site supervisors, practicum instructors, and cooperating teachers

Placement tasks

A site supervisor appears in a signature dropdown for a placement task only if both of the following are true.

1. The signature line on the form includes a signer tag that matches one assigned to the user.
   • For example, a Cooperating Teacher signature line that accepts ELC - Site Supervisor and ELC - Task Supervisor.
2. The supervisor's name matches the supervisor the student started an application for.

Note: If the supervisor is new and not yet in the system, the student needs to send the form using the Send by email option. If a student started an application for one supervisor and now needs a different one, cancel the original application rather than sending its forms to the new supervisor. Otherwise, the new supervisor's name won't appear.

Course assignments

A site supervisor appears in a signature dropdown for a course assignment only if both of the following are true.

1. The form includes a signature line matching a signer tag assigned to the user.
2. The user has direct supervision over the relevant student. Remember to include the site name in the supervision rule.

When someone doesn't appear in the dropdown

If a user should appear as a signer but doesn't, check these two things.

Requirement	What to check
Signer tags on the form	Does the form's signature line accept any of the signer tags on the user's account?
Supervision	Does the user supervise the course, student, or program tied to the task?

Check a form's signature line tags

1. Go to the Program Setup | Customization workspace.
2. Locate and open the form you want to check. Use the filter at the top of the page to narrow your search.
3. Toggle Preview form workflows in the top left corner of the page.

4. Locate the signature line you want to check.
5. Hover over the information icon to see the signer tags that line accepts.

Check a user's signer tags

1. Go to the Program Management | Staff & Students workspace.
2. Locate the user you want to check.
3. Open the Roles and Tags tab.
4. Scroll to the bottom of the user's profile. Signature tags from roles shows the signer tags automatically assigned by the user's role.

Changing signer tags

Removing a signer tag from a user's account immediately affects which forms they can sign.

Example: If an Instructor signature line requires the ELC - Instructor tag and that tag is removed from a faculty member, they can no longer sign — even though they are the instructor and supervise the course.

This is why it matters to keep signer tags consistent between user records and forms, and to know which level of supervision applies to each task type.

When to edit your form signatures

Sometimes the signature configuration itself prevents the right person from signing. Before making any changes, confirm the problem isn't supervision or role assignment — see When someone doesn't appear in the dropdown.

Edit your form if any of these apply.

1. The signature line doesn't include the necessary signer tag. For example, a faculty member supervises a course, but the Instructor signature line doesn't accept any tag assigned to them.
2. Someone needs to sign outside their usual role or supervision. For example, a person temporarily acting as a supervisor whose current tags don't allow signing.
3. Signer tags are incorrect or outdated. For example, a user previously had a required tag removed and can no longer sign the forms they used to.

Roles and their automatic signature tags

Some roles carry signature tags automatically. These tags stay in place as long as the user holds the role.

Authorized Site Representative	ELC - ASR
