Sonia: Assigning Placement Officers to Entities

1.  Introduction

Sometimes placement officers find it helpful, or even necessary, to assign team members as “owners” of certain accounts in Sonia, whether students, sites, placement groups, forms, or other entities.
This article looks at how such “ownership” can be helpful and how to make it happen.
This article uses default Sonia terminology. To see what term is used in your environment, look in School Options > Terminology.

2. Why it is helpful to “own” accounts

Placement officer ownership of accounts provides the following benefits:

1. 1. The assigned placement officer can filter their notifications to accounts they own

For example, they can be notified when one of “their” students uploads a document, submits a form, creates a placement, etc. rather than when *any* student does one of those actions.

To subscribe to notifications, go to the File tab > Subscriptions
NOTE: The notification must be activated in School Options.

1. 2. In the active pane of a module (the one at the left side), the assigned placement officer can filter to his/her accounts in that module

1. 4. When the appropriate settings are turned on, students can see their assigned placement officer’s information on their Home page in Sonia Online

 

3. How to assign placement officers to an individual account

Every module has a Placement Officer button on the ribbon. Click that button and then the green + to assign a placement officer to that account. Multiple placement officers can be assigned to an individual account.

4. How to assign placement officers in bulk

On the Search tab of a module, use the filters to identify a group of accounts that have something in common. Some common examples:

• Students in a particular placement group
• Students in a particular Course or Subject
• Sites with a certain Attribute or in a certain City

Once you have your search results, click the Placement Officers button on the ribbon, select the Placement Officer(s), and click Assign.
