Overview
Site placement processes automate connections between students, sites/agencies, and supervisors/field instructors in Experiential Learning Cloud. They also streamline collection of required documentation to approve placing a student with a site or supervisor. In some instances, you may still need to manually add a site or supervisor and connect them to a student. Below are guidelines to help you decide.

IMPORTANT:
Manually placing a student rather than allowing them to complete their placement through the placement process will mean the student cannot complete the required paperwork in Experiential Learning Cloud for that placement.

 

FAQs

When would I need to manually add a site or agency?

• When students cannot suggest a new site through the site placement process.
• If paperwork to approve the site for your program was collected outside of Experiential Learning Cloud.
• If the active timeframe for your site placement process has closed and the student had not completed pre-application steps before it closed.

 

When would I need to manually add a supervisor or field instructor?

• When students cannot suggest a new supervisor through the site placement process.
• If necessary paperwork to approve the supervisor was collected outside of Experiential Learning Cloud.
• If the active timeframe for your placement process has closed and the student had not completed pre-application steps before it closed.

 

Guidance

Whenever possible, allow students to complete the electronic placement process so that:

1. Correct supporting documentation is gathered and proper connections between student, site, and supervisor are created automatically.

Avoid manually adding entities when a student is suggesting them but has not finished the required tasks

• The student should complete the process to preserve paperwork and associations.

What else would I need to do?

• If you manually create a site and/or supervisor to place a specific student and you do not need that student to complete the placement paperwork, you must:
  • Associate the supervisor with the site
  • Create a direct supervision rule for that student’s placement.
