Overview

Create repeating rules for timesheet entries on activities that will reoccur on a frequent basis. Confirm that you have indeed performed those activities as their planned dates occur in order to save them to your time track.

Some key points:

• • Review and save repeating entries since your last login.
  • Edit individual entries before saving.
  • Future activities show in light gray until saved.
  • Saved entries appear in reports.
  • You control whether to save an entry.
  • Stop a repeating rule anytime with "End this now."

 

 Make a Repeating Timesheet 

1. Go to Timesheets.
2. Add a new record OR open an existing one you want to set as repeating.  
3. Click Make repeating.
4. Once you click Make repeating, you will move to the Repeating Schedule tab.                                                                    
                          
5. Review the Name field: Defaults to Activity, Day(s), and Start time; editable—choose a unique name for easy identification.
6. Set the Repeats every section: By week, day, or month; select frequency, specific days, or specific day of the month.
7. Specify when it ends: Enter number of occurrences or select an end date (required).
8. Check associated records:
   1. Already Created: Existing records from this repeating timesheet.
   2. Not Created Yet: Future records that will be created.
   3. Ensure you’ll want to save the listed records.
9. Click Save.

Next steps:

• • If past records exist, the Save Repeating Time window opens immediately.

  • If none, it will appear at your next login when records require approval.

 

Save a Repeating Time Record 

The Save Repeating Time window appears automatically when a repeating timesheet has records from today or earlier that need saving or skipping.

VIP: Repeating records do not save automatically; student approval is required for them to count toward licensure and graduation.

 

Save or Skip Repeating Records

1. When the Save Repeating Time window appears …

2. Choose which lines you want to Save and which you want to Skip. The system defaults to Save for all lines, but you can click the Skip radio button for any lines that did not occur. 

   • NOTE: If you choose Skip, this selection is permanent. These lines will not be offered for saving again.

3. Click Save.

Modify, then Save or Skip Repeating Records

• • Click + to modify a line; all original details appear and can be edited.

  • Use this information from this date forward: Apply changes to future records.

  • Select Skip or Save for other records.

  • Click Save to finish.

View Existing, Edit, or Choose to End a Repeating Timesheet 

1. Go to Timesheets

2. In the upper right, click More Actions.

3. Select Edit Repeating Time.

4. A window will appear that shows your current repeating timesheets.

5. To edit the rule, click on the name of the repeating timesheet.

6. To end the rule, check the box next to it and then click End Repeat Rule.

OR

1. Go to Timesheets

2. Click the time entry that has a repeating time

3. Go to the Repeating Schedule tab of the time entry window

4. You can edit and delete the rule here
