For Administrators

You can set graduation dates for active or graduated students in the Program Management | Staff & Students table. Students can also set this date themselves in their User Settings.

Why do this?

Entering a graduation date automatically transfers students to the alumni program when that date occurs and puts an end date on their associations (classes, programs, supervision, sites). This will make your reporting on active students more accurate and clean up your list of students for each program.

What happens?

Upon their first login after the graduation date has passed, students will be prompted to confirm their graduation status.
- If they have not yet graduated, or they still need to finish up some final documentation in their program, they can choose to "Remain as Student" and provide a future date for their alumni transition.
Upon confirming their transition to alumni, students are added to the Alumni Program and given the Alumni role
Their previous associations with classes, programs, and sites are given an end date, and they will no longer be able to complete any incomplete assignments they had access to as a student.
They are given access to the Alumni Placement Process to add their alumni sites
Once they confirm their graduation status, they will not be able to continue to complete assignments in Experiential Learning Cloud, so if they, or their supervisor, needs a little more time to wrap things up, they should push that graduation date back. Even if they have already received their diploma.

For Students

Enter your graduation date so that you can transition to alumni status and begin your professional journey with Experiential Learning Cloud upon graduation.

Add Your Graduation Date

Open your User Settings
Select the My Profile tab
Click on the Graduation Date field
Add your graduation date. This does not need to be a date in the future and can be a date that has already occurred. You can change this date before it occurs by editing it in the same place you entered it.
