Overview

If your program pays for student licenses via invoice, you will receive billing invoices generated on the 1st and 15th of each month.

• Students will be added to your invoice once they register their Experiential Learning Cloud accounts and will appear on the next invoice generated for your program (either on the 1st or 15th of the month).
• If a student will not be continuing in your program, you can drop them prior to the end of the billing period in which they registered, so that they do not appear on your invoice. 

 

Billing periods: 

• 2nd to 15th of each month
• 16th - 1st of the following month

 

Dropping Students

BEST PRACTICE: Use the role filter to see only your students (you cannot "drop" staff).

1. Go to your Program Management | Staff & Students tab.

2. Find the students you wish to drop.

3. Check off each student you want to drop in the far left checkbox.

4. At the bottom of the table, select the Drop button.

5. Confirm you want to drop those students.

6. A message will appear indicating which students you dropped.

7. Any dropped student accounts will then be marked inactive.  

8. If students are dropped in the same billing period in which they registered, they will not appear on the invoice generated for your program for that period.

NOTE: If you drop a student and then reactivate their account, a purchase record will need to be manually created by a Experiential Learning Cloud team member for that student in order for them to be able to login.
