How to Add a Site in Experiential Learning Cloud

1. Go to Program Setup | Admin environment and then select the Sites tab.

2. To create your new site, click on the Add (+) button in the top right corner of the sites table.

3. In the Site Details tab, enter a site name (required to save the record). Add other relevant information as best practice.

4. Associate Site with Programs/Sub-Programs:

   • In the Programs section, click the Add (+) button to link the site to one or more of your school’s programs.

   • The site status will default to Approved, but you can change it to Decision Pending, Not Approved, On Hold, or Approved - Full, and add any relevant notes if needed.

   • Add sub-programs (only those linked to the selected program) by clicking the Add (+) button.

   • NOTE: If the site is linked to sub-programs, it will only be available to students associated with those sub-programs.

5. Complete the remaining site details as needed:

   • Site Attributes: Click the Attributes tab to enter site-specific details (e.g., description, setting, populations served, employment support, required materials, clearance requirements, work shift/times).

   • Associated Users: Add users associated with the site, such as students, supervisors, and authorized site representatives.

   • Supervision: In the Supervision tab, create rules to assign users supervision. Learn more here.

   • Site Documents: Use the Documents tab to upload relevant site documents (e.g., site profile form, brochures).

• • Site Notes: In the Site Notes tab, add internal notes visible only to admin users, or send them as messages to recipients.

  • Parent/Child Hierarchy: In the Parent/Child Sites tab, connect the site with a "Parent" or "Child" site to establish a site hierarchy. Learn more here.

  • Site Openings: If site openings are enabled for your program, manage an individual site's openings from this tab. Learn more here.

Editing and Filtering Sites in the Site List

Once sites are added, you can edit their details—including associated staff, supervision, and documents—by expanding each site record.

For easier management, use the filters at the top of the Sites workspace to sort sites by various attributes such as location or populations served. The more complete the site information, the more effective your filtering options will be.
