Overview

Do you work directly with field sites to place students with both a field site and field instructor or site supervisor? You can use the placement approval grid to assign students to both a field site and to an approved field instructor or site supervisor (referenced below as “supervisor”). Read below to learn how!

IMPORTANT: You will only be able to assign students to field sites and supervisors who have previously been added to the database. If necessary, you may manually add sites and supervisors to the database prior to assigning them to students, or you may reach out to your program administrator to add them for you.

Assigned Supervisors or Field Instructors

In the Placement Approval Grid

1. Select the correct process and find the student to whom you wish to assign a field site and supervisor.

2. Click the plus (+) button in the Add a site row, beneath the student’s name, to assign them to a site.

3. Select the classification for the placement.

4. Click the Assign button next to the site’s name.

5. A window will then appear with the option to assign only the site at this time, or to assign both the site and supervisor simultaneously.

   1. If you choose to assign the site only, the student can begin the paperwork for that site, and you can return later to assign them a supervisor.

   2. If you choose to assign the site and choose a supervisor, you will be able to assign the supervisor immediately after you have assigned a site.

6. When assigning a supervisor, you will initially only see supervisors who are associated with the site to which the student has been assigned. If you would like to view all supervisors associated with your program instead, you can select “clear filter” at the top of the assign a supervisor table.

7. After assigning the site and/or supervisor you will then click on the Placement: Notify Student button (blue check) to notify of the student's placement at the site and have the student receive notification of where they've been placed. If you'd like to notify all assigned placements at once, click on the More menu to the right of the Placement Approval Grid and select "Placement: Notify All Students" to notify all students at once.

NOTE: If a process requires both the site and supervisor to be assigned, but only the site has been assigned at the time that the "Placement: Notify Student" button is clicked, the notification of their supervisor assignment will go out immediately once the supervisor is assigned later on.

IMPORTANT: "Placement: Notify Student" does not approve the placement overall. It simply notifies the student and supervisors of the assigned site and/or supervisor so that they can continue the placement process on their end. You will still need to complete Final Review once all site process tasks are complete to complete and approve the student's placement.

8. Once the placement has been finalized and the student has been notified, the site will then appear for the student in their Site Placements Workspace.

9. Students will be able to complete or delegate any paperwork associated with their supervisor once their supervisor has been assigned.
