Overview 

This article provides essential information about time reports, including their structure, parameters, and the logic behind signatures and rerouting.  

General Makeup of a Time Report 

A time report displays the following key components: 

• Context Fields:  
  • Student Information: The individual whose hours are being reported. 
  • Timeframe: The specific period during which the hours were recorded. 
  • Track: The program track used to record the hours. 
  • Site: The location(s) where the hours were logged. 
  • Supervisor: The individual(s) overseeing the logged hours. 
• Time Logged: The time entries found within the report parameters 
• Notes: If students have logged notes along with their timesheets, they can be included in a time report. 
• Special Features: The 514a report will also display advanced time tracking elements, such as flavors and experiences. Learn more here.  
• Signatures: Often, reports are signed as a way to validate the hours displayed on the document. In Experiential Learning Cloud, users can first generate a report, then send it for signatures. Once all delegated signees have reviewed and signed the task, the signatures will populate on the report PDF document.  

 

How Time Report Parameters Work 

The parameters help filter and define the scope of the report. When generating a report: 

• Only hours that meet the specified parameters will be included. 
  • If no hours match the selected parameters, the site and supervisor fields will remain blank. However, checking “filter by site supervisor” will display the selected supervisor even if no hours are present. 
• If hours are logged outside the report's date range or filtered out by site supervisor, related sites and supervisors will be excluded from the top section of the report. 

How Report Context Fields Work 

The context fields provide clarity about the report's contents, showing only relevant data based on logged hours. This ensures that users can quickly assess the report's scope and context. 

All reports have fields at the top of the report to establish the report’s context, this could include:  

• The student whose hours are displayed on the report  
• The timeframe that the report corresponds to  
• The track that the hours were recorded on  
• The site(s) at which the hours were recorded 
• The supervisor(s) with whom the hours were recorded 

How Report Signatures Work 

The signature section of the report will populate with signers' names, signatures, and the date once all required signers have completed their endorsements. The routing logic ensures that only qualified individuals can sign based on their supervisory roles.

How Rerouting Reports Works 

Students and faculty can reroute report assignments to correct any delegation errors: 

1. Go to the Assignments workspace and find the report assignment you need to reroute to another user. 
2. Expand the assignment. 
3. Click the Submit button to prompt the submission window to appear. 
4. Use the dropdown menus to select another user to send the report to.
    
5. Click the Submit button in the submission window to reroute the report to the new user. 
   1. The PDF preview will update the signature lines after the report assignment has been completed and all signatures signed 

Important Exceptions 

• If the “Filter Hours by Site Supervisor Selected Above” box was checked during report generation, rerouting to a new supervisor is not permitted. 
• Students can skip additional site supervisor signers if they have delegated to multiple site supervisors. 
• Optional signers can be skipped during rerouting.
