Version Management in SurveyToGo

• Overview

This article explains how to use the Version Management feature in your organization.

  Version Management allows you to:

  • Control which versions of the SurveyToGo applications are available for your organization.

  • Decide when the entire organization or specific users can upgrade to a new version.

  • Assign a security role that allows designated users to manage released application versions and deploy them within the organization.

  Prerequisites

  • SurveyToGo Studio version 384 or later is required. If you are using an earlier version, please contact SurveyToGo Support for assistance.

  • Before enabling Version Management, we recommend reviewing the Considerations Before Upgrading Your Organization guide.

• In the following screen you will see the available versions.
• Choose one from the list and click 'Set Version'.

• If you would like to see older versions, click 'Show older Versions'

• When the warning message shows - Click 'OK'

• The list with all the available older version will now show in the screen

• To Enforce an Upgrade you can enable the option 'Is Mandatory'
• This will will not allow the users to continue unless they upgrade.

Please note the following:

• Downgrading an application version: SurveyToGo does not automatically downgrade SurveyToGo Studio, PC Survey, or the Android app. To install an earlier version, you must first uninstall the existing application and then reinstall it using the public installation links for the desired version.

Important: Uninstalling the PC Survey or Android app removes all interview data stored on the device. Before uninstalling, ensure that all required data has been synchronized to the server. Downgrading should only be performed in exceptional circumstances and only after consulting SurveyToGo Support.

• Organization upgrades: When you upgrade the organization's application version, users who have been assigned a specific version are not affected. If you want those users to receive the organization's version, remove them from the Specific Users list.

Assign a Specific Version to a User

To assign a specific application version to an individual user, select the user from the Specific Users list. If the user is not listed, click Add and select the user before assigning the desired version.

•
• Once you click on 'Add' the following screen will show - choose the user/surveyor to add and assign a version for him then click 'OK' button to apply.

• Navigate to the relevant application you would like to upgrade.
• Click on the window which will show an arrow
• Click on the arrow and choose the version you would like to set

• Click on 'Save Changes' on the bottom right corner

Note: You can also assign specific Android and PC Survey application versions to individual users using the same process.

Common Scenarios for Assigning a Specific Version

Assigning a specific version to selected users is useful in the following situations:

• Testing a new release: Assign the new version to a small group of users to validate it before rolling it out to your entire field team.

• Troubleshooting: When requested by SurveyToGo Support, assign a specific version to verify a reported issue or confirm that a fix resolves the problem.

Security Permissions

A new Version Management permission is available under Security Assignments. Users with the Organization Administrator role are automatically granted Full permissions for Version Management.
