Overview

A site placement process in Experiential Learning Cloud is the workflow that students go through to secure a connection with a field site and supervisor. This workflow ensures that program administrators can seamlessly:

• Vet new sites and supervisors to ensure they are an appropriate fit for your students

• Collect all necessary paperwork each time a student connects with a new site and/or site supervisor

• Connect students with sites and supervisors in ELC so they can go on to log their time and complete field related assignments

At the end of any completed placement process, the following will be established:

• The placement site the student will work with along with the date range during which the student will work with that site.

• The supervisor the student will work with along with the date range during which the student will work with that supervisor.

Site Process Steps

In general, placement processes are comprised of the same three main steps:

Step 1: Pre-Application Tasks

• This step is optional, but it's a great way to collect information about the student and their readiness for field prior to allowing them to apply to a placement site.

• Common pre-application tasks include:

• • Upload Resume

• • Field Application Form

• • Upload Proof of Liability Insurance

Step 2: Select a Site

• This step determines how students will be connected with their site in ELC, along with any specific site paperwork you would like to collect

• Step Types include:

• • Choose Approved Site: Students can select their site from a list of approved sites.

• • Suggest New Site: Along with having students select their site from a list of approved sites, you have the option of also turning on Suggest New Site. This setting allows students to suggest a new site not already on the list of approved sites.

• • Apply to an Approved Preference: Students can apply to a site that has been approved for them following submitting a site preference list.

• • Assigned Site: Students are assigned a site by an admin or placement approver.

Step 3: Select a Site Supervisor

• This step determines how students will be connected with their site supervisor in ELC, along with any specific supervisor paperwork you would like to collect

• Step Types include:

• • Choose Approved Supervisor: Students can select their site supervisor from a list of approved supervisors.

• • Suggest New Supervisor: Along with having students select their site supervisor from a list of approved supervisors, you have the option of also turning on Suggest New Supervisor. This setting allows student to suggest a new site supervisor not already on the list of approved site supervisors.

• • Assigned Supervisor: Students are assigned a site supervisor by an admin or placement approver.

Placement Update Processes

Along with site placement processes, which allow students to secure a connection with a field site and supervisor, ELC also offers the ability to create placement update processes. These include:

• Extending a Placement

• Withdrawing from a Placement

An Extension Process allows a student to extend their placement either in their current classification or from one classification to another.

A Withdrawal Process allows a student to formally withdraw from their site and/or supervisor after it has been approved by a placement approver.
