Overview

Placement Coordinators can use ELC to refer prospective students to your site for your review and approval. As an Authorized Site Representative (ASR), you can review students' qualifications for placement at your site and indicate whether each student is acceptable or not acceptable.

Note: Indicating that a student is acceptable for placement does not guarantee they will be placed at your site. Final placements are often contingent on a number of additional factors.

If you are an ASR for a parent site (District or Network), you will also be able to assign students to a specific child site and supervisor within your network. See the Parent Site ASR section below for details.

Reviewing Student Referrals

1. After a Placement Coordinator submits a referral, you will receive a notification in ELC.
2. Navigate to Placement Referrals.
3. Click the linked documents in each student's card to review their pre-application materials.
4. Mark each student as Acceptable or Not Acceptable.
5. Optionally, add a placement note for the placement team.
6. Once you have reviewed all students, click Submit referral selections to send your decisions to the placement team.

Note: You can use the Show submitted referrals toggle to view referrals you have already submitted.

Parent Site ASR

If you are assigned as an ASR for a parent site, you have additional capabilities for managing placements across your network of child sites. Your parent site ASR role automatically extends to all child sites under your parent, though individual child site assignments can be removed if needed.

Homepage

1. Navigate to Field Experience > Agency Supervision to access your site cards.
2. Each card displays the parent site name above the child site name so you can identify which network each site belongs to. The parent site card is visually distinct from child site cards, displayed with a green left border.
3. From the parent site card, you can manage openings and staff for the parent site and all child sites within your network.

Placement Referrals

The Placement Referrals workspace displays student referrals sent to your parent site. You can switch between card view and table view using the toggle in the top right.

• Card view is the default when there are fewer than 5 pending referrals.

• Table view is the default when there are more than 5 pending referrals.

Card View

Card view displays one card per referred student. Each card includes:

• Student documents: Click the document links to review the student's pre-application materials.
• Acceptable / Not Acceptable: Select one to indicate your decision. The default state is null. Clicking an active selection clears it back to null. You can change your selection at any time before submitting.
• Site field: Select a child site to assign the student to. Once a site is selected, the site name displays as plain text.
• Supervisor field: Select a supervisor from the chosen site. Once a supervisor is selected, the name displays as plain text.
• Placement note: Optionally add a note for the placement team.

The Show submitted referrals toggle appears below each card section. Use it to view referrals you have already submitted for that group.

When you are ready to send your decisions, click Submit referral selections. A confirmation modal will display a summary of your acceptable and not acceptable counts before you confirm.

Table View

Table view provides a compact layout suited for managing larger volumes of referrals.

• Available filters: search, sub-program, site, acceptable, and a more menu with supervisor and status filters.
• Table columns: select, first name, last name, school, document review, placement note, site, supervisor, acceptable, status.
• The acceptable column cycles through three states: null, Acceptable (green check icon), and Not Acceptable (red X icon). Clicking an active state clears it back to null.
• To assign a site to multiple students at once, select them using the checkboxes and click Edit selected. This opens the Choose Site modal for all selected students.

When you are ready to send your decisions, click Submit to placement team to open the submission confirmation modal.

Choose Site Modal

Upon choosing the Edited selected option in the Table view, the Choose Site modal allows you to assign a child site and supervisor to a student. It can be opened from the site field in card view, the site column in table view, or the Edit selected button in table view.

1. The modal header displays the student name and sub-program. If multiple students are selected, each is listed.
2. Choose a site for [placement group name]:
3. An openings table lists all child sites within your parent network, organized by site. Columns include: radio button, site name, sub-program, supervisor, openings remaining, and a Manage openings button that links to that child site's Openings tab.
   1. Select a site using the radio button
   2. Click Choose site to confirm your selection, or Cancel to go back.
4. Manage Site Openings with the Manage button

Note: Only child sites belonging to your parent site are shown in this modal.
