What Can Experiential Learning Cloud’s Site Placement Processes Do?

Overview

A site placement process in Experiential Learning Cloud is the workflow that students go through to secure a connection with a field site and supervisor. This workflow ensures that program administrators can seamlessly:

• Vet new sites and supervisors to ensure they are an appropriate fit for your students
• Collect all necessary paperwork each time a student connects with a new site and/or site supervisor
• Connect students with sites and supervisors in Experiential Learning Cloud so they can go on to log their time and complete field related assignments

At the end of any completed placement process, the following will be established:

• The placement site the student will work with.
• The date range during which the student will work with that site.
• The supervisor the student will work with.
• The date range during which the student will work with that supervisor.

Placement Process Workflows

This process is best for programs that empower their students to independently apply to placement sites. Students can use this process to inform the program of their placement information, but the ultimate approval is left up to the placement coordinators. This process allows the option to let students suggest new sites and supervisors. If approved, these sites and supervisors will be added to your program's Experiential Learning Cloud database, providing more potential connections for future students.

Guided

This process is best for programs that have a finite list of pre-approved sites. Students initiate the process by providing their pre-application paperwork and list of site preferences. Placement coordinators can approve the sites that are the best fit for their students and students can apply to work with those sites.

Assigned

This process is best for programs that assign sites and supervisors to their students, The students will initiate the process by completing pre-application paperwork, but the remainder of the process is driven by the placement coordinator.

In general, placement processes are comprised of the same 3 main steps:

Step 1: Pre-Application Tasks

• This step is optional, but it's a great way to collect information about the student and their readiness for field prior to allowing them to apply to a placement site.
• Common pre-application tasks include:
  • Upload Resume
  • Field Application Form
  • Upload Proof of Liability Insurance

Step 2: Select Site

• You can determine how students will be connected with their site in Experiential Learning Cloud
  • Students can select their site (student driven)
    • If students are allowed to select their site, you can also decide if you would like them to be able to suggest new sites that are not already on your pre-approved list of sites.
  •  Students are allowed to apply to an approved preference (guided)
  • Students are assigned a site (assigned)

Step 3: Select Site Supervisor

• You can determine how students will be connected with their site supervisor in Experiential Learning Cloud
  • Students can select their site supervisor (student driven or guided)
    • If students are allowed to select their site supervisor, you can also decide if you would like them to be able to suggest new site supervisors that are not already on your pre-approved list of site supervisors.
  •  Students are assigned a site supervisor (assigned)

Once you have determined your placement process workflow, you can decide which specific tasks students and supervisors need to complete within each step of the process.
