Sonia: Archiving Placements at the End of the Term

It is best practice to archive placements at the end of a placement term. In some cases, placement officers may also need to manually change the enrollment status for students.

Archiving your placement group

To archive a placement group, open your placement group to the Details page, check the box highlighted below, and save. That's it!

The placement group will no longer be on your Home page. You can access this archived data from Placement Group module > Search tab.

What this looks like in Sonia Online

Your Sonia Online users will then only see the placement info for that placement group in their History tab.

Archiving students
The students who are part of the completed placements may need to manually have their enrollment information (i.e., the placement Subject) marked as Completed.

NOTE: If your student enrollment data is updated daily via the automated Student Importer tool, you likely do not need to take this step.

To manually change students' enrollment in bulk:

1. Go to the Students module > Search tab at the top left, enter search filters that would capture the right group of students. For example, enter the Placement Group Code to get all of the students in that group.
2. Click the Subject Persistence button on the ribbon.
3. Click 'Set' and then Enter everything exactly as it is on those students' Enrollment page, EXCEPT the Status - this should be 'Completed' instead of 'Enrolled'.
   1. Your Subject Status list can be edited in School Options > Lists > Subject Status
4. Then, 'Next' and 'Finish'.
