Why Import Data?

Imports allow you to take complete ownership over your data in Experiential Learning Cloud. By owning your import process, your program can determine the best possible rhythms in which to bring new users, classes, and sites into your Experiential Learning Cloud database. You'll also save yourself tons of time compared to manually entering data within the system.

When to Import Data

Upon Initial Database Setup During Onboarding

1. First, you will need to import the field sites your program partners with when you first work on setting up your Experiential Learning Cloud database.
2. Next, you will need to complete a user import to create accounts for your students, faculty, and site supervisors in Experiential Learning Cloud.
3. Then, you may want to import class rosters for any classes that will have assignments in Experiential Learning Cloud. Most often this will be field classes but may also include some non-field classes if you are using Experiential Learning Cloud for program wide assessment.
4. Finally, you will need to complete a supervision import in order to connect students who have already secured a placement with a site and supervisor.

Each Term

1. First, you will need to import the class rosters for any courses which have a field component or assessments to be completed in Experiential Learning Cloud.
2. Then, you will need to import any individual users who are not currently enrolled in a course through a user import. Most often, these will be students who are beginning their site placement process, a semester or two before they begin their field experience in Experiential Learning Cloud.

NOTE: If your program uses an LTI or SFTP integration, you will not need to import students or classes each semester as this will be done through the integration.

If Your Program Does Not Use the Site Placement Process

If your program has chosen not to use the site placement process, each term you will need to complete the imports listed above, as well as the following three imports:

1. You will need to import any new sites that your students are working with in the coming semester through a site import.
2. Then, you will need to import the new supervisors students are working with through a user import.
3. Finally, you will need to import the supervision rules associating students with their site supervisors via a supervision import.

NOTE: Importing users does not automatically invite them. After importing users, you will be able to send out invitations to register at the time of your choosing.
