A report assignment allows students to distill all of their hours tracked in a week, month, or semester, into a PDF document. This PDF can be shared with site supervisors and program faculty for review and signature. Students can access these even after they graduate so that they always have a reliable log of their field experience hours.

This article describes the process of creating a report assignment in a class template. Click here to learn more about class templates.

Creating a Report Assignment

1. Go to the Assignments tab in your class template
2. Click (+) to create a new assignment
3. The assignment builder will populate

Required Settings

• Name:Enter the name of the assignment.
  • EXAMPLE: Week 1 Hours Report (try not to use specific dates, as this will make the template less universally applicable later on).
• Assignment Type: Select Report as the type of assignment.
• The report to be used is: Click the dropdown menu and select the report that students must complete. Read about Time Reports to decide which report is best for your program.
• About: Select who the report is about. Report assignments should always be about the Assignee (the student).
• Completed by: Select the person who will run the report: either the Assignee (the student), their Instructor, or their Supervisor. Again, in most cases, reports will be completed by the student.
• Approval Process:The report already has a list of required signatures built into it. The last signature on the form will be the final step in the "approval" process UNLESS you choose to add an additional reviewer here. Signatures can be:
  • • Required for submission of the assignment.
    • Optional for submission of the assignment.
    • Disabled for submission of the assignment. A disabled signature prevents the report from being submitted to the selected members. Students can still select a supervisor or faculty to filter their hours by.
  • NOTE: When a report assignment includes a Program Faculty/Staff signature, the default setting will be “Anyone (Student Selects)”, which will show the student all individuals who have both the instructor signer tag AND a class, program, or direct supervision rule over the student. Students will then be responsible for selecting the correct recipient for the report from a list of potential signers.

    • If you would like to limit the signature options so that it only displays the instructor of the class the assignment is in, click on “Anyone (Student Selects)”, and select the instructor of the class from the drop-down menu.

    • This setting can be selected within the class template so that when the assignments are copied to class sections the instructor can be substituted as the signer automatically.

• To add a reviewer to an assignment, click the (+) at the top of the Approval Process table, then select the specific person or reviewer group that will review the assignment.

NOTE: If the student is required to submit or run a specific report on more than one occasion during a class or program (perhaps they need to submit a 514 Report every Friday, for example), then a unique Reports Assignment will need to be created for each time the report submission is due. Click the copy icon in the upper right corner of the assignment builder to make a copy of the assignment.

Optional Additions

• Instructions: Click the ellipses to add any additional instructions that students may need to complete the assignment.
• Prerequisites: If this assignment has prerequisites (assignments that must be completed prior to the student beginning this assessment), select them here.
  • NOTE: The prerequisite assignment must be entered in the assignment builder first before it will appear in this list.
• Start Date: This field will default to the Start Date of the class. If the student cannot start the assignment until a specific date, enter that date here.
• Due Date: This field will default to the End Date for the class or program. If the due date is different from the end date, enter the due date here.
• Assigned to: This field determines which students will see the assignment in their assignments workspace. Assignments can be assigned to ...
  • All class or program members.
  • No class or program members.
  • Specific class or program members -- If there is a unique assignment that is assigned to only one or some of the students in the class, select this option.
• Required or Optional: Assignments can be ...
  • Required for all members of the class or program (this is the default setting).
  • Optional for all members of the class or program.
  • Required for specific members of the class or program.

Once all assignments have been added to your class template, you can copy them to a class.
