Sonia: Extracting Documents to SharePoint

Introduction

Users often need to extract documents in bulk, whether to send to university storage, to save space on the Sonia server, or to comply with document retention/destruction laws.

 

Extracting the documents to cloud storage, such as SharePoint, ensures plenty of space for the number of files needing to be stored.

 

Using the Extract Tool

Access the SharePoint Extraction tool from the Home tab or from the File tab.

A dialog box will appear; follow these steps:

1. Select a Source Option in the pane at the left
   1. Due to the number of files and amount of space needed, selecting one option at a time ensures the export does not get too heavy and eventually time out
2. Indicate if the extraction should look across all of the schools on Sonia or just your own
3. Enter the Destination details
   1. Your IT department likely has this information
4. Click the Calculate button to see how many documents will be included in the extract
5. Click OK to run the extraction
