Virtual Workshop Best Practices

Overview

SharpCloud enables highly engaging virtual workshops and meetings, allowing participants to collaborate in real time and generate rich, dynamic content that extends beyond the session. Careful planning and setup help ensure a smooth and effective workshop experience.

Preparing Your Story and Forms

Define Your Structure

• Establish clear categories, attributes, and tags

• Ensure the structure aligns with workshop objectives

Plan Participant Contributions

• Decide how participants will add content (e.g., via forms)

• Determine if multiple forms are required

• Define who can contribute (creators, collaborators, etc.)

• Choose whether submissions are published immediately or reviewed first

• Set required vs optional fields

• Plan how forms will be shared (e.g., link, QR code)

Configure Story Access

• Assign appropriate permissions (Create, Collaborate, Read Only)

• Decide how the story will be shared after the workshop

• Determine whether a Team or Directory is required

Set Up Views

• Use filters to help organise and sort ideas

• Apply icons, colours, or visual cues for clarity

• Enable relationships if needed and define item interaction behaviour

Add Global Panels

• Include key attributes for visibility

• Decide if participants will add resources during or after the session

Test, Iterate, Communicate

• Test forms and views thoroughly with sample data

• Ensure all configurations display as expected

• Communicate expectations to participants in advance

• Familiarise yourself with filters and view settings to adapt during the session

Notes

• Preparation is key to maximising engagement and productivity

• Clear structure and permissions reduce confusion during live sessions
