Why Can't I Log Time?

If you cannot track your time in the timesheets workspace, there could be a number of underlying reasons.

One of the most common reasons is not having an active connection to your site and/or supervisor.

Troubleshooting

1. Does your Site and Supervisor Populate in your Timesheets when attempting to log time?

1. 1. If Yes, go to Step 1A
   2. If No, go to Step 2A

Step 1A
If you are actively connected to your Site and Supervisor, other common reasons include:

1. 1. You don't have access to the track you need to log time in.
   2. You need to track time outside of your track's start or end dates.
   3. Do you need Help Configuring your Track?
      1. If yes, go to Step 1B

Step 1B
When you attempt to log time, you may see a message that the date you have selected is prior to the start date on your track or beyond the end date on your track.

Solutions

1. 1. Click Update within the popup to update the start or end date on the track. Once updated, you will be able to make a time entry.
   2. Click More Actions, then Manage Tracks.

Here you will see the name of your track and its date(s).
      1. Click on the date to edit it, then update the "active date" to match the first date on which you need to log time in this track.
         1. If you need to extend the track's end date, update the "inactive date" field.
         2. If you do not see a track which aligns with your field experience level in the "Active Track" dropdown, you may not have been assigned the time track you need.

3. Add the track yourself by going to More Actions|Manage Tracks.

4. Click Add a Track

• • • • • Search through the tracks in use by your program or university and select the one which best fits your field experience discipline and level.

NOTE:  It is best practice for time tracks to be assigned in field experience courses, so if you need to add your own track and have not been assigned one, please let your instructor know as adjustments to the class may be necessary.

Step 2A
If you are unable to select your site and supervisor from the Site and Supervisor in the track view, you do not have an active connection with your site and supervisor.

You can find out your placement status by clicking the tab in the upper right corner of your Experiential Learning Cloud account to expand the sidebar.

To view your placement information, click the pin icon.

You will not be able to track time if:

1. 1. You have not been placed with a placement site and site supervisor in Experiential Learning Cloud. If this is the case, your placement information tab will show that you have no placements to display.
   2. Your placement has not yet started.
      1. Your placement information tab will show that you have a current placement, but the start dates beneath your supervisor's name will be for an upcoming date.
   3. Your placement has expired.
      1. Your placement information tab will show that you have a withdrawn/expired placement.
      2. The end date on the date range beneath your supervisor's name will show the date on which your placement expired.

Additional Troubleshooting

• • If Your Placement Dates are Incorrect, please go to Step 2B
  • If Your Placement is Expired, please go to Step 2C
  • If You Need to Apply for a Site/Supervisor see Applying for Site Placement

Step 2B

If Your Placement Dates Are Incorrect:

Reach out to a member of your program's field team, usually a Program Administrator at your school, and they can manually update these dates for you.

Step 2C

If You Have Not Been Placed With a Site OR Your Existing Placement Has Expired:

You need to complete a placement process in Experiential Learning Cloud in order to connect or reconnect with your site and supervisor by following the steps below.

1. 1. Go to your Site Placements workspace.
   2. Click on the tab which best describes your current placement level (e.g. Internship I).

1. 1. Work through the steps on the left-hand side of the screen, and the tasks within each step to complete your placement process. Click here for more information about completing a site placement process.
   2. Once your placement process is approved, you will be able to log time with your site and supervisor.

NOTE: The above steps apply only to schools that use the Site Placement workspace in Experiential Learning Cloud.

Other Considerations

If your school does not use the Site Placement workspace, please reach out to your Program Administrator so they can manually connect you with your site and supervisor.

If you are unable to begin a placement process or you have already completed placement paperwork outside of Experiential Learning Cloud, reach out to your program administrator and they can manually connect you with your site and supervisor.
