Adding a Placement Officer to Sonia

Open School Options by clicking on File->School Options OR by clicking on the small school icon in the upper left of the Sonia Client.

Click Placement Officers on the menu to the left.


Click on the green plus icon on the top right to add a new user.

The General tab will open where the Access Level, Name, Contact Details, Photo, Sign In and Actions can be defined.

1. Define the Access Level for the Placement Officer and enable the "Is Active" checkbox and "Allow bulk update wizard"  as appropriate for the user being added. Definitions of the access area are below the screenshot:

• General Access:  This access allows the placement officer to conduct placement-related activities only.  They will not be able to manage other placement officers or change details pertaining to the school.
• Read Only: Prevents the placement officer from making changes.
• Full Access: Will allow the placement officer to conduct placement-related activities and manage other placement officers or change details pertaining to the school.
• Is Active: When colleagues no longer need access to Sonia, this should be un-ticked to prevent access.
• Allow bulk update wizard: This allows editing of records en-masse.  Unintentional data integrity issues could be frequent if not used properly and requires that the account is for a university administrator.  University administrators can enable this access for others.
• Is university administrator: Allows access to university-level settings that can affect all schools within the university that are using Sonia. This access should be limited to IT staff or university-level Sonia administrators.
   

NOTE: The tabs which control the permissions for the various modules )(i.e. students or placement groups) are populated by default depending on the chosen access level but they can be changed.

Alterations to the default values will be shown as a number within brackets next to the tab title

IMPORTANT NOTE: Once you have entered the details for the Placement Officer, click the Add/Update button at the bottom right of the window.

Click Apply to save the new user. Once you have added all of your users, click OK on the list of users to close the School Options window.

2. Enter in the personal and login details of the placement officer.

Mandatory fields are  First Name, Last Name, Username (provided by the organization) and Email

Optional fields are Title, Middle Name, Preferred Name, Qualifications, Alternate email, work phone, home phone, mobile phone, Skype ID, Photo (which can be uploaded).

The permission to Receive license expiry notifications  does NOT need to be enabled for the school administrator unless everyone needs to know.  If the Sonia licence expires, Sonia will convert to a read-only state, where data can be viewed but not edited.

IMPORTANT: When you notify the new user of their login credentials, be sure to let them know their Sonia ID
You can copy it from their account window when you set them up and paste it into the secure communication you will send them.
