Date Presets

Date Presets provide a fast and consistent way to populate dates on various records, such as Groups, Assignments, Roles, Site Associations, and more. Instead of manually entering start and end dates each time, users can select a predefined preset that automatically fills relevant date fields.

Administrators can control which record types and programs each preset applies to, ensuring that only appropriate options appear to staff and students. By standardizing how dates are entered throughout ELC, Date Presets also improve data consistency. This leads to greater accuracy in reporting by key time frames.

How to: Configure Date Presets (Admin Only)

Create a New Date Preset

• Navigate to Program Setup | Admin > Date Presets
• Select Add + to create a new preset
• Enter a Name for the preset
• Choose the Preset Type (e.g., Groups, Assignments, Roles, Site Associations, etc.). If you would like a preset to be broadly available, you may leave the “type” selection blank.
• Select the Start Date
• If applicable,
  • select End Date
  • some preset types allow an Intermediate Date used for additional fields (e.g., Placement Access or Site Opening Access)
  • limit your preset to your program

Limiting a Preset to Specific Record Types

When choosing a Preset Type, you determine which record types will display the preset.

Examples:

• A “Document” preset appears only in date fields for applicable document types.
• A “Term” preset is universal and can appear in most date fields.

Only date presets matching the record type will appear to users. However, a preset does not need to be limited to a given type. If you would like a preset to be broadly available, you may leave the “type” selection blank.

Limiting a Preset to Selected Programs

Each preset can be limited to specific program(s).

• A preset only appears to users working within that same program.
• If your university has multiple programs, each program may have its own set of presets.

Enabling Presets for Reporting

If the preset should be available inside report date filters:

• Check the “Reporting range preset” checkbox within the date preset settings
• Presets marked for reporting will appear at the top of reporting date menus

How Users Interact with Date Presets

Users encounter Date Presets whenever they select a start date (and sometimes end date). Presets appear in the calendar menu in date fields.

Selecting a Preset

When the user clicks a date field:

1. The calendar menu appears with Date Presets menu
2. The user selects a preset by name
3. ELC automatically fills in all applicable date fields:
   • Start Date
   • End Date (if the preset type includes one)
   • Intermediate Date (for specific types like Placement Access or Site Opening Access)

Users only see:

• Presets for the record type they’re editing
• Presets belonging to the program they’re working in
• Presets that are currently Active

Best Practices

• Create “Term” presets for common academic or rotation cycles to provide universal date shortcuts
• Keep preset names clear and recognizable (e.g., “Fall Term 2025,” “Spring 2026 Onboarding Window”)
• Regularly review presets to retire outdated ones by marking them Inactive

Troubleshooting

1. I don’t see my Date Preset in the date field menu:
   • The preset may be inactive
   • There may be no presets for that record type
   • The preset may belong to a different program

2. The preset didn’t populate all fields:

   • Some record types do not use end dates or intermediate dates.
   • The document type may not allow end dates.
